The Special Event Coordinator role at Silverton Resort plays a critical supporting function within the Special Events department. The position involves a blend of administrative, logistical, and on-site responsibilities that ensure smooth coordination and successful execution of property-wide events, promotions, and entertainment activities. Reporting to the Special Event Manager, this role requires a highly organized and detail-oriented professional capable of managing event logistics from start to finish. Responsibilities include assisting with room setups, coordinating vendor schedules, managing event documentation and expenses, and providing direct support during events. The coordinator serves as a vital communication link among internal departments such as Operations, Slot Operations, Table Games, Food & Beverage, Security, Facilities, and Entertainment, ensuring all aspects align with the event plan.

The ideal candidate will possess strong organizational skills, excellent communication abilities, and a solid understanding of event layout and equipment configurations. Experience in hospitality, marketing, casino operations, or event support is highly preferred. The role demands flexibility to work nights, weekends, and holidays and requires physical stamina. Adherence to company policies and gaming regulations is essential, as is maintaining a positive, professional demeanor. Job Requirements

  • high school diploma or equivalent
  • 1-3 years of experience in event support, hospitality, marketing, or casino operations preferred

Job Qualifications

Job Duties

  • support the Special Event Manager in the execution of property-wide events and promotions by completing assigned tasks and following established event plans and timelines
  • assist with event logistics including room setups, equipment needs, signage placement, credential distribution, and event-day checklists as directed
  • coordinate assigned communication with internal departments such as Operations, Slot Operations, Table Games, Food & Beverage, Security, Facilities, and Entertainment
  • assist with vendor coordination by confirming schedules, deliveries, set-up and tear-down details, and escalating issues to the Special Event Manager
  • maintain organized and accurate event documentation including schedules, contact lists, approvals, and post-event notes
  • track assigned expenses, collect invoices, and submit documentation for review and approval
  • provide on-site event support including guest assistance
  • assist with post-event follow-up by compiling attendance numbers, guest feedback, and operational notes
  • ensure assigned tasks comply with gaming regulations, internal controls, and departmental SOPs
  • maintain event calendars, task lists, and shared documents
  • ensure safety standards and fire guidelines are followed
  • ensure event venues are clean and organized
  • address customer queries and complaints
  • assist in clearing the stage and setup post-event
  • review inventory before and after events
  • work with Food and Beverage to coordinate logistical plans for prep, set-up, and show
  • assist as needed advancing riders and facilitating concerts in the pavilion and pool
  • tour department daily to look for safety hazards and check staff adherence to hotel policies
  • review department logbooks daily to ensure information is current and accurate
  • assist with Player Loyalty Events and Drawings via the PowerKiosks Management System
  • perform other duties as assigned to support the Special Events department
