We are currently seeking a dedicated Recreation Coordinator - Events to join our Parks and Recreation Department. This full-time position plays a critical role in planning, coordinating, and implementing a variety of city events and community engagement activities designed to foster connections among residents and promote local culture. The Recreation Coordinator will be responsible for the entire lifecycle of assigned events, from initial planning stages to on-site execution and post-event evaluation. This position requires strong organizational skills, attention to detail, and the ability to manage multiple moving parts in a dynamic environment. The ideal candidate will work collaboratively across city departments, with vendors and community partners to ensure every event aligns with Edgewater's values and serves its mission of service excellence.
This role demands flexibility, as it includes evening and weekend hours to oversee events and engage with the community effectively. Key responsibilities include managing event logistics, coordinating permits, equipment setup, vendor agreements, volunteer direction, and safety protocols. The Recreation Coordinator will also lead community outreach efforts, build sustainable partnerships, and support additional Parks and Recreation programs as needed. Job Requirements
- Must have legal authorization to work in the United States
- Possess a valid driver's license with the ability to safely operate a motor vehicle
- Provide proof of a safe driving record and maintain a safe driving record
- Submit and pass a pre-employment background check
- Must maintain a drug-free work environment and not report to work impaired by drugs or alcohol
- Bachelor's degree from an accredited college or university with major coursework in recreation, event management, or a related field, or equivalent experience
- Two years of related experience in event planning, coordination, or recreation programming
- Experience planning and coordinating events, including logistics and scheduling
- Experience using Civic Rec or a similar registration platform
- Must possess or be able to obtain First Aid, CPR, and AED Certification
- Preferred certifications include CMP, CSEP, and Certified Parks and Recreation Professional (CPRP)
- Ability to work evenings, weekends, and flexible hours as required for events
- Strong organizational and time management skills
- Strong communication and customer service skills
- Demonstrated knowledge and understanding of Microsoft Office Suite 365
- Ability to work independently and take initiative in a fast-paced environment
Job Qualifications

Job Duties
- Plan and coordinate assigned City events independently from initial planning through execution
- Maintain event calendar and timelines
- Coordinate with internal departments to align event logistics, operations, and communication needs
- Coordinate with departments, vendors, and community partners to support event planning and delivery
- Manage event logistics, including permits, equipment, site setup, and operational needs
- Coordinate vendors, agreements, and service delivery
- Track event details, schedules, and deliverables
- Conduct site visits and event walkthroughs as needed
- Evaluate events and recommend improvements to operations, participation, and overall experience
- Lead event setup, operations, and breakdown
- Troubleshoot issues during events and adjust as needed
- Ensure compliance with safety procedures and City policies
- Support event safety planning and coordination, including adherence to emergency procedures and City requirements
- Coordinate and provide direction to volunteers and event staff
- Serve as primary point of contact during assigned events
- Support community outreach efforts, including event booths and activities
- Build relationships with local organizations, businesses, and partners
- Identify opportunities to enhance community participation and engagement
- Establish and maintain effective relationships with citizen groups, including bi-annual attendance at HARP Board meetings
- Manage event registrations and participant communication
- Track attendance and provide basic event summaries
- Monitor and order supplies necessary for event operations
- Recommend large purchases to Department Director
- Assist the Department Director in preparation of the annual budget
- Assist with tracking event-related expenses and staying within established budgets
- Coordinate with Communications staff to support event promotion
- Maintain organized records related to events
- Participate in processing and approval of external Special Event Applications
- Address complaints and resolve issues in assigned area of responsibility
- Support Parks and Recreation programs and operations as needed
- Assist with program setup, activities, and facility supervision during peak times or staff shortages
- Provide support across department initiatives and special projects
- Provide customer service to participants, residents, and vendors
- Communicate with staff, partners, and the public
- Participate in staff meetings and training opportunities
- Assist with Department on call schedule on a rotating basis
- Maintain a positive attitude, take initiative, and work as a cohesive team with all team members
- Maintain regular and punctual attendance
- Perform other duties as assigned
