Job Description

The Toledo Zoo and Aquarium is a renowned zoological park dedicated to wildlife conservation, education, and providing memorable experiences to its visitors. Situated in Toledo, Ohio, this nonprofit organization is committed to fostering a connection between people and wildlife through innovative exhibits, engaging events, and impactful educational programs. This opportunity is for the position of Part-Time Special Events Coordinator within the Toledo Zoo and Aquarium's Communications Department. The role involves direct collaboration with the Director of PR and Communications Events to organize and execute a variety of special events aimed at engaging the public and driving attendance. These events are family-friendly and designed to connect guests to the Zoo’s mission of wildlife conservation and education. The coordinator will be responsible for comprehensive event planning, managing logistics before and during the event, and ensuring that all activities meet the Zoo's quality and branding standards. Duties include coordinating setup, liaising with vendors and entertainers, overseeing internal department communications, and managing teardown processes, all within designated timelines.

This is a part-time, hourly role with an expected workload of approximately 15 to 25 hours per week. The position is flexible in terms of duration, ideally from May through December, and classified as non-exempt under the Fair Labor Standards Act, making it eligible for overtime pay for hours worked beyond 40 in a workweek. The ideal candidate is someone passionate about event planning and excited to contribute positively to the Zoo’s mission through high-quality event management. Strong organizational, communication, and interpersonal skills are essential, along with the ability to adapt to varying weather conditions including cold, heat, rain, humidity, and snow. The role also requires physical capability to occasionally handle items weighing 25 pounds or more and a valid driver’s license with insurability under the Zoo’s fleet insurance.

Apart from key logistical responsibilities, the Special Events Coordinator will also support marketing and public relations efforts related to the events, enhancing the visibility and community engagement of the Toledo Zoo. Knowledge of social media platforms, previous experience in event planning or customer service, and familiarity with the Zoo’s programs and initiatives are beneficial for success in this role. Job Requirements

  • must be at least 18 years of age
  • valid driver’s license and insurable by fleet insurance carrier
  • ability to transport items weighing 25 pounds or more
  • ability to work in varied weather conditions including cold, heat, rain, snow, and humidity
  • knowledge of the Toledo Zoo and its events is a plus
  • strong organizational, writing and interpersonal communication skills
  • prior event planning, marketing or customer service experience preferred
  • commitment to a drug-free workplace
  • flexible availability between May and December
