Job Description
The Parks, Arts & Recreation Department is a dynamic public sector organization dedicated to enhancing community life by providing a diverse range of activities, programs, and events that engage residents and visitors alike. With a commitment to fostering community spirit, promoting arts and culture, and enhancing recreational opportunities, the department manages and organizes various special events throughout the year that serve different demographics in the community. Known for its professional approach and collaborative work environment, the department strives to create memorable experiences that build stronger community connections and promote healthy, active lifestyles. The Senior Special Events Coordinator role is integral to this mission, serving as a key player in the successful planning and implementation of major department-sponsored events.
The Senior Special Events Coordinator operates under the general supervision of the Special Events Superintendent and plays a pivotal role in the day-to-day management and strategic execution of special events for the Parks, Arts & Recreation Department. This position is responsible for not only coordinating the logistics and programming aspects of various events but also overseeing frontline personnel in event operations. This leadership role requires strong organizational and interpersonal skills to manage relationships across multiple stakeholders, including vendors, city departments, community groups, and event staff.
Key responsibilities involve the administration and oversight of event operations such as setup, execution, and tear down, while also ensuring compliance with safety and operational standards. The coordinator leads teams of employees and volunteers, prioritizing tasks, monitoring work performance, and maintaining detailed reports related to incidents and event outcomes. This role also requires negotiating contracts with clients and vendors, managing sponsorship opportunities, and ensuring all contractual obligations are met. Beyond logistical coordination, the Senior Special Events Coordinator performs essential office tasks including maintaining records, preparing promotional materials, tracking event finances, and scheduling personnel.
The position demands flexibility, with work hours typically Monday through Friday from 8 am to 5 pm but often extending to nights, weekends, or holidays based on event schedules. Physical requirements include the ability to lift up to 40 pounds occasionally, reflecting the hands-on nature of the role. A Bachelor’s degree in business, marketing, or a related field is preferred, along with a minimum of three years’ experience in special event programming or venue operations. A valid Class C Driver’s License is required for the role.
This opportunity is ideal for professionals seeking to advance their careers in event management within the public sector. The Senior Special Events Coordinator position offers a unique chance to contribute meaningfully to community engagement and public service by facilitating high-impact, well-organized events that meet diverse community needs. Candidates will find a supportive environment with ample opportunities to apply their expertise in event coordination, leadership, partnership development, and customer service in a role that balances operational detail with strategic outreach and community relations.
