The Senior Event Planner role at Epiq is a critical position responsible for managing both in-person and virtual events from concept through completion for a large global law firm client. This position offers an annual salary ranging from 66,164 to 82,175 USD, with the potential to earn an additional bonus based on performance. The ideal candidate for this role is passionate, creative, and detail-oriented, with extensive expertise in all facets of event planning. This includes the ability to handle meetings, conferences, budget management, venue scouting, equipment logistics, room setup, and on-the-day management and assistance.
In this role, the Senior Event Planner will work closely with internal staff, clients, and vendors to ensure the seamless organization and execution of events that meet high standards and strict budgetary guidelines. This includes building and nurturing relationships with vendors, venues, and industry contacts, as well as liaising with senior executives and industry leaders throughout the planning process. The planner will oversee all aspects of event logistics, including contract negotiations, guest lists, venue preparations, presentation materials, catering, entertainment, transportation, equipment, and décor. They will also be responsible for managing virtual events and webinars from start to finish, involving stakeholder intake, technology runs, and post-event follow-up.
The role requires excellent written and verbal communication skills, strong interpersonal abilities, and the capacity to manage multiple priorities while working productively and cooperatively with colleagues. Leadership skills are essential, as the Senior Event Planner will also mentor and support a team of event coordinators. Physical requirements include the ability to lift or move packages up to 40 lbs, operate wheeled carts carrying up to 75 lbs, and endure extended periods of walking, bending, kneeling, standing, or sitting.

- 5+ years’ experience in a similar role, preferably in a law firm environment
- Technically adept
- Excellent written and verbal communication skills

- Ability to excel under pressure and provide quality work product
- Clearly and effectively communicate with varying levels of people within the organization

- Ability to lift or move 40 lbs or greater
- Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs
- Ability to walk, bend, kneel, stand or sit for an extended period of time

Job Duties
- Manage all aspects of event planning while staying on budget and meet strict guidelines
- Build and nurture relationships with vendors, venues, and other industry contacts while implementing the creative and logistical aspects of all events
- Work with internal staff, clients, and vendors to coordinate and establish the requirements for an event
- Liaise with senior executives and industry leaders throughout the planning process
- Coordinate visit sites and lead pre-event meetings to help event coordinators make decisions about event design
- Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, catering, entertainment, transportation, equipment, and decor
- Oversee client experiences from conception through post-event review
- manage on-site preparations, production, and event breakdown
- and ensure consistent, high-level service throughout all phases
- Build and maintain a comprehensive database of industry contacts, vendors, and venues
- Provide day of assistance and management for all in-person and virtual events
- Manage virtual events/webinars from end-to-end (i.e. stakeholder-intake, tech runs, event follow up)
