This position is classified under the Career Service pay plan with a competitive bi-weekly salary starting at $1,439.79, which includes a base rate plus a cost of living adjustment. The post is based in the Miami office and is central to supporting the operational efficiency of the Probation and Community Intervention unit.
As a Secretary Specialist, the incumbent will provide essential clerical support by performing a wide variety of routine and specialized administrative tasks. These include drafting correspondence, preparing reports, handling information requests, managing records, and assisting visitors and callers as a receptionist. The role requires proficiency in utilizing multiple computer systems, including Microsoft Office programs, and maintaining accurate electronic and paper filing systems. Strong organizational skills are necessary to support fiscal responsibilities such as ordering supplies, managing inventory, and processing payments.
The Secretary Specialist is also responsible for coordinating appointments, scheduling meetings and conference calls, and taking accurate minutes to facilitate smooth communication within the department. This role acts as a critical liaison between the Assistant Chief Probation Officer, staff, clients, and external visitors, ensuring that all interactions are handled with courtesy and professionalism.
The position may occasionally require flexibility in work hours to accommodate the demands of the department. Job Requirements
- A high school diploma or its equivalent
- two years of secretarial or clerical work experience preferred
- experience using Microsoft programs to perform clerical and administrative duties
- experience performing fiscal, personnel, purchasing, reporting, and other major office functions
- experience providing support to a work unit or group
- a valid driver’s license
- ability to work flexible hours as needed
- ability to pass background checks including sex offender registry and drug screening
- compliance with state employment verification process
- ability to obtain Florida driver's license within 30 days if hired with out-of-state license
Job Qualifications

Job Duties
- Schedule appointments and make travel arrangements for the Assistant Chief Probation Officer and staff
- answer all incoming calls, take and distribute messages accurately
- provide assistance to staff, clients, and visitors
- greet guests courteously and direct them appropriately
- maintain an accurate inventory of office supplies
- ensure office equipment is functioning and arrange service calls
- track postage meter usage and manage postage supplies
- receive, review, and prepare responses to mail and correspondence
- maintain a file of all correspondence
- sort, stamp, and direct outgoing mail
- type correspondence, reports, orders, and other office documents from drafts or oral instructions
- proofread all typed assignments for accuracy
- attend staff and departmental trainings and meetings
- complete a minimum of 24 hours of training annually
- operate general office equipment such as copy machines, fax machines, and computers
- provide customer service to internal and external customers
- comply with Florida's Prompt Payment Compliance Law
