The role available is for a Sales Coordinator within The Edgewater Sales & Catering team. This position offers a unique opportunity for an enthusiastic, customer service-focused professional to contribute to a thriving hospitality environment. The Sales Coordinator is tasked with providing administrative support, customer service, and sales assistance primarily focused on group bookings and managing contracted room blocks. These bookings may include corporate, wedding, and social groups, demanding an individual who is highly organized, proactive, and capable of delivering tailored solutions. Acting as a crucial liaison between clients, the sales team, and operational staff, the coordinator ensures seamless coordination and a flawless guest experience throughout the group’s stay. Working as a Sales Coordinator at The Edgewater means being involved in the full lifecycle of group booking management.   • Preferred experience with Salesforce (Delphi), Opera, or comparable convention management software

Job Duties

  • Work alongside the Sales & Catering Team in handling assigned group bookings by completing contract turnover process, managing contracted room blocks, tracing cut-off dates, sending reminders to clients, and detailing special instructions pertaining to group
  • Act as a liaison between the Sales/Catering Manager and the client while following-up and keeping all appropriate staff aware of pertinent informational changes or any irregularities for assigned groups by completing detailed and accurate group resumes for our operational team
  • Assure group resumes are complete two weeks prior to arrival with information pertinent to event and room block
  • Work with client to accurately quote and charge deposits, receive and process deposit payments, sending reminders as necessary
  • Assist Sales/Catering Managers with Banquet Event Orders, group resumes, and floor plans as needed
  • Respond timely to client and guest requests with an expected response time of one business day or less
  • Ensure communication is conveyed to all appropriate areas and resolve outstanding issues to ensure quality product delivery and guest satisfaction
  • Anticipate and resolve guest service concerns promptly and professionally
  • Assist with client property tours as needed
  • Remain calm and professional under pressure
  • Collaborate well with team
  • Be proactive, organized and customer service oriented
  • Assist clients during events which may include early morning, evening and/or weekend hours
  • Be available to assist with special projects and events
  • Perform other duties as assigned
