The Potomac Hotel, Autograph Collection, is a distinguished property within the Pyramid Global Hospitality portfolio, situated in Washington, D.C., overlooking the scenic Potomac River. This full-service hotel features 373 guest rooms and boasts 38,000 square feet of indoor meeting and event space, offering a vibrant hospitality atmosphere just minutes from key city landmarks including The Wharf, National Mall, and Capitol Hill. The Potomac Hotel incorporates two restaurant and bar concepts, a spa and fitness center, and an extensive meetings and events operation, providing a diverse range of opportunities for career development within the hospitality sector.

The Sales Coordinator role at The Potomac Hotel is a dynamic position designed to support the Sales Team by managing general office duties, coordinating schedules, and facilitating communication between clients and team members. This position requires strong organizational skills, detail orientation, and effective communication to synchronize the team’s efforts and contribute to smoothly running sales operations. The Sales Coordinator will manage sales contracts, proposals, reports, appointments, and travel arrangements, while also utilizing the DELPHI sales automation system according to department standards.

As a crucial part of the team, the Sales Coordinator will work collaboratively with various departments to foster consistent extraordinary customer service, promote diversity and inclusion, and contribute to a positive, engaging workplace culture. Job Requirements

  • Minimum of two years of hotel sales, convention services, catering and/or hotel operations experience
  • Delphi experience preferred
  • Previous experience in a luxury resort setting preferred
  • Working knowledge of Microsoft Office
  • Excellent customer service skills
  • Ability to function well under pressure, manage multiple priorities, and meet established deadlines
  • Superior problem solving and decision-making skills
  • Excellent organizational and project management skills, with particular attention to quality and detail
  • Interpersonal skills to deal effectively with all business contacts
  • Professional appearance and demeanor
  • Ability to effectively communicate in English, in both oral and written forms

Job Duties

  • Provide high-level support by preparing sales contracts, proposals, and serving as the point of contact for clients
  • Generate reports, gather materials, assemble information packets, arrange and coordinate meetings and events
  • Assist sales team by managing schedules, appointments, and travel arrangements
  • File important documents, organize the office, and communicate relevant information to key stakeholders
  • Utilize the sales automation system, DELPHI efficiently and effectively based on department standards
  • Build impactful relationships with all other departments
  • Foster consistent levels of extraordinary customer service throughout the workplace that result in the highest levels of guest satisfaction
