The 576 Mission Valley Marriott, situated in San Diego, CA, is a prestigious dual-brand hotel complex encompassing both the San Diego Marriott Mission Valley and the Element by Marriott Mission Valley. Known for its dedication to excellence in hospitality, this venue offers a comprehensive range of accommodations and meeting facilities totaling over 37,000 square feet of event space. The Sales & Events Coordinator role at this dual-branded Marriott property is a vital position tasked with providing critical administrative, reporting, and operational support to the Sales and Events teams. Reporting directly to the Director of Sales & Marketing, this full-time role offers an hourly wage range of $22.00 to $24.00. The coordinator is instrumental in ensuring the smooth and efficient execution of daily departmental objectives across both brands, strictly adhering to the company standards and operational protocols. This position involves managing a wide array of responsibilities including answering and routing sales and catering inquiries, managing daily operational reports and correspondence, maintaining lead logs across multiple market segments, and acting as a key point of contact in the absence of Sales or Catering Managers. The coordinator assists in preparing contracts, proposals, and various event documentation while facilitating communications between clients, internal sales teams, and hotel operations. They also manage event-specific logistics including producing banquet event orders, maintaining event files, and coordinating group housing functions when necessary.
The role demands strong organizational and time-management skills as well as proficiency with several proprietary and industry software systems such as CI/TY (Delphi.fdc), Cvent, Lanyon, MarrFP, MARSHA, BirchStreet, and STR/Hoteligence 360. Candidates must demonstrate the ability to multi-task and prioritize in a multi-property environment and exhibit sound judgment and creative problem-solving capabilities. Job Qualifications

- 1-2 years of administrative support experience
- prior hotel sales, events, or front desk experience preferred

- proficiency with Microsoft Office and hotel sales, events, and procurement systems

Job Duties
- Answer inbound sales and catering calls for both Marriott and Element
- route catering and banquet inquiries to the appropriate Event Manager
- receive daily show-room availability and distribute consolidated updates
- compile and distribute the Sunrise daily report and Daily Events report
- run and send the Group Rooms Control report daily
- monitor incoming sales mailboxes and log all correspondence
- deploy and route incoming leads from multiple platforms
- maintain the Lead Log across all market segments
- act as primary client contact in managers' absence and prepare required paperwork
- assist managers with contract and proposal preparations
- create and distribute group resume cover sheets
- compile and distribute the weekly Sales Activity Report
- research and deliver competitive set reports
- run and assemble Banquet Event Orders and function packets
- send client introduction emails for new groups
- maintain thank-you letter flow and close out event files
- partner to schedule and collect group deposits
- prepare site alerts and inspect meeting spaces
- produce event-space diagrams and maintain sales collateral
- create purchase orders and close invoices
- issue Marriott Bonvoy points and track issuance
- assist with creative marketing projects
- maintain filing systems for past groups
- assist Group Housing Coordinator during absences
- coordinate with hotel departments for time-sensitive requests
- assist with travel agent and corporate reservation requests
- exercise judgment to direct requests appropriately
