We are currently seeking an experienced Event Manager to join our dynamic team. This role demands a highly skilled individual who will assume full leadership and ownership of the comprehensive management of events ranging from small-scale meetings to large corporate conferences. The Event Manager will coordinate efforts across multiple departments including registration, sponsorship, information systems, air travel arrangements, and finance, ensuring seamless integration of functions and smooth execution. The successful candidate will have a strong background in event management, adept at client relationship management, vendor negotiation, venue coordination, and production logistics. With a keen eye for detail and strategic oversight, you will manage event budgets, timelines, contracts, and vendor partnerships, continually striving to optimize costs and enhance event impact.
In this pivotal role, you will be responsible for driving the entire event lifecycle — from initial planning stages, program agenda development, content coordination, to onsite team leadership and post-event evaluations. You will lead project plans and timelines, facilitate client and internal team meetings including pre-event walkthroughs and post-event debriefs, and ensure that client and internal deliverables are met consistently by milestone deadlines. Your responsibilities will also include managing all venue-related aspects such as room allocation, setup, food and beverage arrangements, AV and IT support, security, transportation, and other critical event infrastructure elements. Moreover, you will oversee external vendors like DMCs, audio visual teams, production and entertainment coordinators, photographers, printers, and translators, ensuring high standards and alignment with event goals.
This position requires not only exceptional organizational and multitasking abilities but also interpersonal skills to effectively liaise with clients and stakeholders. It involves frequent travel of up to 50 percent, reflecting the hands-on nature of role and the geographic diversity of our client base. Job Requirements
- Four-year college degree or related work experience
- minimum 2-5 years of experience in event management, meeting planning or hospitality
- 1-2 years of experience with direct client management
- ability to travel up to 50 percent
- strong organizational and communication skills
- proficiency in event management software

Job Duties
- Assume total responsibility and ownership in leading the planning and execution of all assigned events
- coordinate event management across all departments including registration, platform, sponsorship, IS, air, and finance
- manage event budget, invoicing, schedules of payments and cost savings report
- oversee overall program agenda ensuring communication across all internal and external teams
- oversee and manage event project plan/timeline
- lead and participate in client and internal meetings including regular status meetings, pre-program walkthroughs, onsite meetings, and post-program debriefs
- drive client and internal team deliverables to meet timeline milestones
- manage all aspects of venue coordination including meeting space allocation, meeting room set-up, diagrams, food & beverage, electrical, internet
- manage DMC and outside vendors including Audio Visual, Production, Entertainment, IT/Internet, Photographer, Printer, Security, Shipping, Translation, Transportation
- coordinate content, graphic development and production of all program collateral and signage
- develop budgets, coordinate itineraries, and lead site inspections
