We are currently seeking an experienced Event Manager to join our team and take full ownership of both small and large-scale events. This role requires a highly organized individual with strong leadership skills and a proven track record in event management. The ideal candidate will be well-versed in managing various aspects of event planning, including client relations, coordination of venues, vendor negotiations, production schedules, and overall event logistics. As the Event Manager, you will lead the planning and execution of all assigned events, acting as the primary point of contact for clients while ensuring seamless communication across all internal departments such as Registration, Platform, Sponsorship, IS, Air, and Finance.

You will be responsible for managing event budgets, including invoicing, payment schedules, and cost-saving initiatives, ensuring that events are delivered within financial parameters without compromising quality. The role encompasses vendor management, including engagement with Destination Management Companies (DMCs), Audio Visual teams, production crews, entertainment providers, IT support, photographers, printers, security services, shipping coordinators, translators, and transportation services. Managing hotel room blocks and other accommodation details will also be a critical component of your responsibilities.

Additionally, the Event Manager will oversee the production of event collateral and signage, working closely with content creators and graphic designers to ensure all materials align with the event's objectives and branding. This position also involves coordinating site inspections and developing detailed itineraries, along with maintaining and updating comprehensive event project plans and timelines. Travel is required for this role, with up to 50% travel to various event locations, providing an exciting opportunity to engage directly with clients and venues on site.

Job Requirements

  • Four-year college degree or related work experience
  • Minimum 2-5 years of experience in event management, meeting planning, or hospitality
  • 1-2 years of experience with direct client management
  • Ability to travel up to 50%
  • Strong organizational and multitasking abilities
  • Excellent negotiation and vendor management skills
  • Proven ability to work under pressure and meet deadlines

Job Qualifications

Job Duties

  • Assume total responsibility and ownership in leading the planning and execution of all assigned events
  • Coordinate event management across all departments including Registration, Platform, Sponsorship, IS, Air, and Finance
  • Manage event budget, invoicing, schedules of payments and cost savings report
  • Oversee overall program agenda ensuring communication across all internal and external teams
  • Oversee and manage event project plan and timeline
  • Lead and participate in client and internal meetings including regular status meetings, pre-program walkthroughs, onsite meetings, and post-program debriefs
  • Drive client and internal team deliverables to meet timeline milestones
  • Manage all aspects of venue coordination including meeting space allocation, meeting room set-up, diagrams, food and beverage, electrical, internet
  • Manage DMC and outside vendors including Audio Visual, Production, Entertainment, IT/Internet, Photographer, Printer, Security, Shipping, Translation, Transportation
  • Coordinate content, graphic development and production of all program collateral and signage
  • Develop budgets, coordinate itineraries, and lead site inspections
