Aspire Women's Clinic is a faith-based health care provider dedicated to supporting women with compassionate medical care and spiritual guidance. The Receptionist at Aspire Women's Clinic embodies the clinic's mission and acts as the first point of contact for patients entering the facility. This part-time position, requiring two full eight-hour days per week from 9am to 5pm, is pivotal in creating an inviting and organized atmosphere that reflects the values of the ministry. As an ambassador of Jesus Christ, the Receptionist ensures that every patient is greeted with warmth, professionalism, and genuine care. This role is essential in maintaining smooth clinic operations by managing front desk responsibilities including patient check-ins, appointment scheduling, and follow-up communications. Additionally, the Receptionist provides vital administrative support to both the clinic and ARC staff, contributing to the seamless flow of clinic activities.

A significant aspect of this role is patient hospitality and building trust through consistent, compassionate interaction and practical assistance. The Receptionist communicates effectively with patients about their appointments, reaches out to those who have missed visits, and coordinates transportation logistics when needed, including arranging third-party services like Lyft. They also assist with patient intake when necessary and provide faith-based encouragement aligned with the clinic’s principles. Beyond patient interaction, the Receptionist is responsible for entering data into electronic medical records, maintaining accurate patient charts, tracking clinic metrics, and managing office supplies and other logistical tasks. They play a supportive role in event coordination, lobby upkeep, and volunteer engagement, contributing to a positive and welcoming clinic environment.

This role requires a committed Christian with a deep personal relationship with Jesus Christ, who is dedicated to the pro-life mission of Aspire Women's Clinic. Job Requirements

Job Duties

  • Greet and check in patients in a compassionate and professional manner
  • interact with patients on the phone regarding appointments and schedule
  • make follow-up phone calls and reach out to patients who missed appointments
  • communicate and coordinate with clients regarding transportation including ordering third-party transportation
  • assist with Care Coordinator responsibilities including completing patient intake and sharing faith-based encouragement
  • collaborate with Call Center to facilitate smooth clinic operations
  • maintain confidentiality by ensuring door between lobby and clinic remain closed
  • schedule follow-up appointments
  • audit patient charts for accuracy and completeness
  • track and maintain key metrics as requested by Manager
  • support clinic staff with administrative tasks such as copies and scanning
  • enter daily information into electronic medical records
  • utilize HopeSync to share resources and send prayer requests
  • utilize flag system in electronic medical records to facilitate patient transition
  • order office supplies
  • receive deliveries
  • maintain receipts and complete expense reports
  • manage lobby upkeep and clinic supplies inventory
  • assist with class coordination and meal sign-ups at ARC
  • attend departmental and volunteer meetings
  • assist with fundraisers, event planning, and tours as necessary
