The role of the part-time receptionist is vital within Patriots Glen, acting as the first point of contact for visitors, guests, and residents. Working primarily during weekend hours from 9:00 am to 5:30 pm, the receptionist will greet the public both in person and over the phone with utmost courtesy and professionalism. The position pays between $18.00 to $22.50 per hour depending on experience. The receptionist will also be responsible for various clerical and bookkeeping duties that support the efficient operation of the assisted living community.

Key responsibilities include answering phone calls courteously, directing calls appropriately, and maintaining accurate records such as the Resident and Visitor Sign-In/Out logs. The receptionist will ensure the staff directory is up to date, manage incoming and outgoing mail, and prepare necessary paperwork for new resident admissions. They will assist in organizing files, faxing documents as needed, and updating the census report daily. Furthermore, this role includes operational tasks such as preparing vouchers, scheduling transportation for residents’ medical appointments, and making bank deposits with proper documentation. The receptionist will also provide timely communication support by paging caregivers when required and promptly informing the Nursing Supervisor of any staff absences.

Job Duties

  • Answer all phone calls in a courteous manner and direct calls to the proper personnel
  • Greet visitors, guests, and residents with the utmost courtesy and offer assistance
  • Direct visitors and guests to appropriate personnel or room
  • Maintain proper documentation of the Resident and Visitor Sign-In/Out Log
  • Update Staff Directory with the latest information, phone numbers, etc.
  • Make copies of all forms whenever supply runs low
  • Prepare absence report whenever someone calls in and inform Nursing Supervisor immediately
  • Fax documentation as requested by all departments
  • Organize/arrange files/folders and lock the file cabinet before leaving
  • Prepare copies of paperwork and file appropriately for newly admitted residents
  • Distribute all correspondence to proper personnel and send out all outgoing mail
  • Prepare vouchers, and schedule cab/van for residents’ doctor’s appointments
  • Update and fax census report every morning
  • Maintain and file resident roster and census
  • Make bank deposits with proper documentation
  • Page caregivers when necessary
  • Perform other related tasks given by immediate superior and administrator
