The role of Receptionist / Office Assistant at Office Pavilion is a vital in-person position designed to be the first point of contact for visitors, clients, and vendors. This is much more than a traditional receptionist position where you simply answer phones; the role requires a dependable, organized, and proactive professional eager to create a welcoming office atmosphere. You are the visible face of the company, responsible for maintaining a warm, clean, and organized front office environment including the showroom and shared spaces. The job involves a variety of responsibilities such as greeting visitors with professionalism, handling phone communications, restocking supplies, and ensuring that meetings and events run smoothly through managing conference room setup and common areas.

Additionally, this role includes light housekeeping duties, coordination of mail and package deliveries, and assisting with administrative tasks like research, data entry, and documentation across multiple departments. Job Requirements

  • High school diploma or GED required
  • Previous receptionist, administrative, hospitality, retail, or customer service experience preferred
  • Strong communication skills
  • Excellent organizational skills
  • Proficient typing skills and computer literacy
  • Ability to multitask and manage time effectively
  • Dependable and punctual
  • Professional communication with clients and vendors
  • Ability to accept feedback and learn continuously

Job Qualifications

  • Previous receptionist, administrative, hospitality, retail, or customer service experience preferred
  • Strong communication and customer service skills
  • Excellent organizational skills and attention to detail
  • Strong typing and computer skills, including Microsoft Outlook, Word, and Excel
  • Comfortable working on a computer throughout the day while managing email, documents, and multiple software applications
  • Ability to type accurately and efficiently while maintaining attention to detail
  • Comfortable learning and using new software, online systems, and technology
  • High school diploma or GED required

Job Duties

  • Greet clients, visitors, and vendors with warmth and professionalism
  • Answer and direct incoming phone calls
  • Serve as the primary point of contact for the front office
  • Keep the showroom and office clean, organized, welcoming, and client-ready throughout the day
  • Reset conference rooms, kitchen, breakroom, and other shared spaces after meetings and events
  • Restock office, kitchen, coffee, and hospitality supplies
  • Perform light daily housekeeping, including wiping counters and tables, emptying trash, watering plants, tidying common areas, and helping maintain a professional environment
  • Coordinate mail, packages, freight tracking, and office communications
  • Assist with administrative projects, including research, documentation, data entry, and general office support
  • Help maintain product samples, vendor information, and other office resources
  • Support a variety of departments and special projects as needed
