The Receptionist role at EMJ is a full-time, general office position based in Blaine, Minnesota, reporting directly to the Sales Manager. This non-exempt position is the first point of contact for visitors, customers, and incoming communications, serving a crucial function in maintaining smooth office operations. The Receptionist is responsible for operating the main office telephone system, greeting visitors, directing calls and inquiries, taking accurate messages, and providing general administrative support. Additional responsibilities include sorting mail, assisting with invoices and records, maintaining organized filing systems, and supporting interdepartmental communication flow. Job Duties
- Answer and direct incoming telephone calls using the company telephone system and/or sales board
- Greet visitors and notify the appropriate employee of their arrival
- Take accurate messages and ensure timely communication to the appropriate personnel
- Monitor and follow up with sales personnel regarding sales board or phone status as needed
- Sort incoming mail and distribute correspondence to appropriate departments and personnel
- Receive deliveries and correspondence from mail carriers and delivery services
- Perform general clerical duties including filing, scanning, indexing, copying, and data entry
- Print and organize invoices, manifests, packing lists, and related documentation
- Assist with entering information into company systems related to Accounts Payable processing
- Separate and distribute purchase orders and related documents to branch locations as needed
- Maintain organized office filing systems and records
- Support workflow coordination between departments through effective communication and administrative support
- Maintain confidentiality of sensitive company and customer information
- Provide professional customer service to internal and external contacts
