The Receptionist position at EMJ is a vital administrative role within the General Office department, reporting directly to the Sales Manager. This is a non-exempt hourly role with a competitive compensation rate of $25.00 per hour, commensurate with experience and qualifications. As the first point of contact for visitors, customers, and incoming communications, the receptionist is essential in maintaining a professional and welcoming atmosphere. Responsibilities include managing the main telephone system by answering and directing calls efficiently, greeting and assisting visitors, and ensuring timely communication within the organization. The role also requires supporting various clerical and administrative functions such as sorting mail, handling deliveries, filing, scanning, and data entry to facilitate smooth office operations.

This role demands excellent organizational skills, the ability to multitask in a fast-paced environment, strong verbal and written communication, and a professional demeanor. The receptionist plays an important part in workflow coordination by supporting internal departments and maintaining confidentiality of sensitive information. The job involves sedentary work with occasional walking or standing and use of hands and fingers to operate equipment and handle correspondence. Job Duties

  • Answer and direct incoming telephone calls using the company telephone system and/or sales board
  • Greet visitors and notify the appropriate employee of their arrival
  • Take accurate messages and ensure timely communication to the appropriate personnel
  • Monitor and follow up with sales personnel regarding sales board or phone status as needed
  • Sort incoming mail and distribute correspondence to appropriate departments and personnel
  • Receive deliveries and correspondence from mail carriers and delivery services
  • Perform general clerical duties including filing, scanning, indexing, copying, and data entry
  • Print and organize invoices, manifests, packing lists, and related documentation
  • Assist with entering information into company systems related to Accounts Payable processing
  • Separate and distribute purchase orders and related documents to branch locations as needed
  • Maintain organized office filing systems and records
  • Support workflow coordination between departments through effective communication and administrative support
  • Maintain confidentiality of sensitive company and customer information
  • Provide professional customer service to internal and external contacts
