The role of Receptionist at Casa de las Campanas is a vital position responsible for being the welcoming face of the facility. The Receptionist ensures that residents, visitors, and staff receive exceptional customer service while maintaining the smooth operation of the front desk. This role involves greeting and directing individuals upon their arrival, answering and directing phone calls politely and promptly, and monitoring emergency call panels and alarm systems to respond appropriately to any situations. The Receptionist will also provide routine office and administrative support, such as managing mail, deliveries, and resident prescriptions, as well as maintaining detailed visitor records using Accushield software.

The position requires the Receptionist to work in either or both the Sur and Norte lobbies of the facility, requiring a comprehensive understanding of the activities and responsibilities at each reception desk. Maintaining cleanliness and organization of the lobby, reception, and common areas is also an essential part of the job. Additionally, the Receptionist will communicate via two-way radio with other departments to coordinate information and respond swiftly to any needs or emergencies. Coordination of lunch and dinner reservations for the dining rooms, along with accepting tray order requests during weekends, is among the responsibilities. This role demands strong communication skills, professionalism, and a friendly demeanor to create an inviting atmosphere for all who enter Casa de las Campanas.

The schedule for this position is Monday through Friday from 3pm to 11pm, with a starting pay rate of $18.00 per hour. Job Requirements

  • must be able to pass background checks including fitness for duty physical, fingerprinting, and employment references as required by a licensed residential care facility

  • two or more years of experience in customer service
  • ability to communicate effectively both verbally and in writing
  • proficiency in operating office equipment
  • ability to multitask and handle emergency situations calmly
  • availability to work Monday through Friday from 3pm to 11pm

Job Qualifications

  • high school graduate
  • two or more years of customer service experience at a concierge, front desk, or similar position
  • one or more years of PBX experience is desirable
  • exceptional communication and interpersonal skills
  • ability to handle telephone and in-person contact professionally

Job Duties

  • answer and direct phone calls in a polite and friendly manner
  • welcome residents and visitors warmly, answering any questions they have
  • maintain lobby, reception area, and all common areas in a clean and tidy manner at all times
  • monitor annunciator panels for emergencies and fire alarms, responding quickly and appropriately in accordance with facility policies and procedures
  • communicate clearly and professionally through 2-way radio to other departments
  • monitor lobby security
  • operate standard office equipment regularly, including fax machines, copy machines, and computers
  • keep detailed and accurate records of visitors through Accushield
  • receive deliveries and log, sort, and distribute incoming mail and packages
  • receive, log, and distribute resident prescriptions
  • take inventory of reception supplies and restock as needed
  • maintain resident census reports
  • coordinate information distribution between the reception desk and departments as appropriate
  • maintain the general reception filing system
  • provide general administrative support to staff and residents as needed
  • provide lunch and dinner reservations for the dining rooms
  • accept tray order requests on Saturday and Sunday
