Job Description

Masonicare at Bishop Wicke, located in Shelton, CT, is a distinguished healthcare provider known for its commitment to enhancing the quality of life for seniors through compassionate and comprehensive care. As part of the Masonicare Health System, a leader in health and senior care with a rich history of service, Masonicare at Bishop Wicke operates specialized communities including Assisted Living and Memory Care tailored to meet the diverse needs of its residents. We are currently seeking a dedicated Receptionist for our day and evening shifts. This part-time position involves working three days a week, including every other weekend, to provide essential front-desk support in welcoming and assisting visitors, residents, and staff members. The role's schedule includes shifts from 4PM to 8PM on Monday, Wednesday, and Friday, with additional weekend shifts from 8AM to 8PM. This position is crucial for ensuring smooth communication and operations within our Assisted Living and Memory Care communities.

The Receptionist serves as the first point of contact and plays a pivotal role in establishing a warm, friendly, and professional atmosphere. Responsibilities include greeting visitors, answering inquiries, directing guests to appropriate locations, and managing incoming messages and deliveries such as flowers, newspapers, and packages. The receptionist also supports recreational activities by facilitating exercise sessions, games, and discussion groups, contributing to the well-being and engagement of residents.

In addition to communication duties, the Receptionist maintains vital records such as resident directories, meal service requests, and other essential information to support daily operations. This role also coordinates transportation requests, manages maintenance and housekeeping work orders, organizes guest room reservations through Outlook calendar systems, and occasionally provides administrative assistance as needed.

Safety and emergency response are paramount within this position. The Receptionist is trained to handle all incoming emergencies using the Call-for-Aid system, promptly notifying appropriate staff to ensure residents' safety and timely interventions. Participation in ongoing education and in-service meetings demonstrates the organization’s dedication to continuous improvement and professional development.

This role requires a professional who embodies the principles of person-centered care — someone who treats individuals with dignity, respect, and compassion while offering coordinated and personalized support. Previous experience in customer service or office settings is preferred, underscoring the need for excellent interpersonal skills, attention to detail, and the ability to multitask effectively in a dynamic environment.

Job Duties

  • Maintains established departmental policies and procedures, objectives, quality assurance program and safety standards
  • Provides assistance, guidance and direction to visitors and residents
  • Ascertains the nature of their business and directs visitors and residents to various locations in Assisted Living and Memory Care communities
  • Receives messages, flowers, newspapers and other items and notifies appropriate staff
  • Performs various recreation activities, including exercise, games, and discussion groups
  • Maintains files on resident’s requests for meal service and other needs
  • Assists in care and maintenance of department equipment and supplies
  • Handles all incoming emergencies through Call-for-Aid System and notifies appropriate staff
  • Schedules resident transportation requests
  • Inputs maintenance and housekeeping work orders
  • Maintains Outlook calendar for guest room reservations
  • Fills in as needed for Administrative Assistants
  • Sorts and distributes all incoming correspondence
  • Assists staff with administrative duties and requests
  • Receives daily prescriptions from various pharmacies
  • Performs all other duties as assigned
