We are currently seeking a highly organized and personable Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. Responsibilities include greeting and welcoming guests promptly and courteously, directing visitors to the appropriate personnel or departments, answering and forwarding phone calls, and ensuring the reception area remains tidy and stocked with necessary materials. This role requires a calm and professional demeanor, excellent multitasking abilities, and proficient communication skills.

The ideal candidate will have proven experience in reception duties or a similar front office environment, preferably with exposure to dental office operations and medical terminology. Proficiency in Microsoft Office and hands-on experience with common office equipment like fax machines and printers are essential. Additionally, the Receptionist will be responsible for maintaining office security by monitoring visitor access and managing visitor logs, ordering office supplies, updating calendars, scheduling meetings, and assisting with travel arrangements. Handling insurance billing and preparing treatment plans are additional duties that highlight the need for accuracy and confidentiality.

This full-time position offers competitive pay ranging from $19.00 to $29.00 per hour, reflecting the candidate's experience and skills. Job Duties

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Arrange travel and accommodations, and prepare vouchers
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Make insurance billing and present treatment plans
