Job Description

Seattle Preparatory School is a distinguished Catholic, Jesuit college preparatory institution located in the heart of Seattle on the North-end of Capitol Hill. Established in 1891, the school serves approximately 790 students in grades 9 through 12 and has a rich history spanning over 130 years. This mission binds together the Prep community, supported by thirteen decades of alumni and an unwavering dedication to educating young men and women in the Catholic, Jesuit tradition.\n\nAs a full-time employee serving as the Receptionist and Assistant to the Dean, you will hold a pivotal role in supporting the Dean of Students and ensuring the smooth operation of the main office. This position is a 12-month role, working Monday through Friday from 7:00 am to 3:30 pm, and provides an hourly rate ranging from $30.00 to $33.40 depending on skills and qualifications. In this role, you will be the first point of contact for visitors to the school, including parents, students, vendors, and the public, greeting them with a warm and welcoming presence. You will also manage the school’s attendance processes by tracking and recording student attendance data, interfacing regularly with parents and students about attendance concerns, and reporting potential truancies to the Dean of Students.\n\nBeyond attendance management, your responsibilities will include maintaining accurate records of various school documents such as immunization records, accident reports, consent forms, and waivers, some of which contain sensitive student information. You will be responsible for managing communications related to attendance and other student issues, responding to inquiries, directing calls, and handling mail and deliveries. Additional tasks include managing the Sick Room and Lost and Found services, administering replacement ASB and access cards for students, and leading attendance and communications during school-wide evacuations.\n\nSeattle Preparatory School values a supportive environment that aligns with its Catholic, Jesuit identity and mission. Job Duties

  • Maintain a physical presence in the office
  • provide a warm and welcoming presence for all visitors
  • serve as the first point of contact for campus visitors
  • monitor the entry system to greet visitors and direct inquiries according to school policies
  • perform all attendance duties as directed by the Dean of Students
  • receive inbound phone calls from parents regarding student attendance
  • maintain attendance information in designated software and daily logs
  • track pre-planned absences and communicate with appropriate colleagues
  • interface with students and parents to address unexcused absences and attendance inaccuracies
  • communicate potential truancies to the Dean of Students
  • maintain accurate records of school forms including health and accident reports
  • track sensitive and confidential student information
  • communicate regularly with students, parents, faculty, and staff regarding attendance and related issues
  • answer and transfer calls and take messages
  • manage deliveries, mail, supplies, and disseminate materials
  • manage Sick Room and Lost and Found
  • act as Attendance and Communications Lead during school-wide evacuations
  • administer ASB replacement cards and access card replacements
  • report statistics and health records to state authorities
  • provide administrative support to the Dean of Students as needed
