McLean School is currently seeking a welcoming, organized, and detail-oriented Receptionist / Administrative Assistant to join their team at the Lochinver Lane Campus. This full-time, 12-month position is integral to the daily operations of the school, serving as the first point of contact for students, families, faculty, staff, and visitors. The Receptionist / Administrative Assistant will be responsible for creating a warm, supportive, and professional environment that enhances community interaction and operational efficiency. With normal operating hours from 7:30 am to 4:00 pm, the role occasionally requires evening or weekend participation to support school events and activities.
The successful candidate will thrive in a fast-paced, dynamic environment and demonstrate excellent customer service and communication skills. They must be adept at managing multiple priorities while maintaining professionalism, flexibility, and care. Reporting directly to the Associate Head of School and Chief Financial Officer, the position plays a critical role in ensuring smooth front desk operations, managing student attendance and transportation coordination, and providing essential administrative and operational support. This opportunity allows the individual to be an active member of a collaborative and community-centered educational environment, contributing positively to a welcoming and inclusive school culture.
Compensation for this role ranges from $55,000 to $75,000 annually, commensurate with the candidate's experience, qualifications, and skills. Job Requirements
- minimum of high school diploma or equivalent
- at least 3 years of relevant experience in customer service, reception, administrative assistant, or office support roles
- excellent communication skills both verbal and written
- strong organizational and time management skills
- proficient with technology platforms such as Apple products and Google Workspace
- ability to multitask and manage competing priorities in a fast-paced environment
- demonstrated ability to maintain confidentiality and exercise discretion
- a customer-focused and professional demeanor
- ability to collaborate effectively within a team and independently
- familiarity with educational administrative systems preferred
Job Qualifications

- experience working with databases and online management systems
- ability to quickly learn and navigate multiple technology platforms and databases
- familiarity with SchoolPass, HubSpot, Blackbaud, or similar systems preferred
Job Duties
- serve as the first point of contact for students, families, visitors, and vendors greeting all guests warmly and professionally
- answer and direct calls received through the school's main phone line
- manage entry into the building including visitor check-in procedures utilizing the school's visitor management software
- maintain a welcoming, organized, and professional front office environment
- assist in tracking and maintaining accurate student attendance records
- manage student transportation and dismissal plans through SchoolPass, the school's transportation management database
- work collaboratively with faculty, staff, and parents to ensure dismissal and transportation information is current and accurate
- monitor school bus arrivals and departures and serve as a liaison between the school and transportation providers when issues arise
- support the school's admission efforts by maintaining and updating information within HubSpot, the school's marketing and communication platform
- assist the Admission, Information Technology, Business, and Development Offices with projects, mailings, events, and special initiatives
- assist with the coordination and logistical support of school events and activities
- maintain emergency action documentation and fire drill records
- provide general administrative support as needed
