We are currently seeking a dependable and detail-oriented Receptionist to join our dealership team. This full-time position offers a competitive hourly pay based on experience, with a consistent daytime schedule aligned with dealership operating hours and a five-day work week. The Receptionist plays a critical role as the first point of contact for customers, creating a welcoming atmosphere while supporting the administrative functions of the dealership. This role requires strong organizational skills and the ability to multitask effectively in a fast-paced environment.

In this role, you will be responsible for greeting and assisting customers, answering and directing incoming phone calls, scanning and electronically organizing dealership documents such as repair orders, vehicle deals, and invoices with accuracy and timeliness. You will verify the completeness and legibility of documents, maintain both physical and electronic records, and assist multiple departments including Sales, Service, Parts, and Accounting by providing administrative support as needed. Maintaining a clean and professional reception area, managing incoming mail and packages, and answering general dealership questions round out the responsibilities of this key position.

Job Requirements

  • High school diploma or GED required
  • Previous receptionist, administrative assistant, customer service, or dealership experience preferred

Job Duties

  • Answer and direct incoming phone calls to the appropriate departments in a courteous and efficient manner
  • Scan, upload, and electronically organize repair orders, vehicle deals, invoices, and other dealership documents in a timely and accurate manner
  • Verify scanned documents are complete, legible, and properly filed within the dealership management system
  • Assist with filing, copying, printing, and maintaining organized physical and electronic records
  • Receive and distribute incoming mail, packages, and dealership correspondence
  • Provide administrative support to the Sales, Service, Parts, and Accounting departments as needed
  • Maintain a clean, organized, and professional reception area
  • Assist customers with general dealership questions and direct them to the appropriate team members
  • Perform other clerical and administrative duties as assigned
