Warner Norcross + Judd is currently seeking a Receptionist/Hospitality Assistant to join their general services team at the Grand Rapids, MI office. This full-time, on-site position operates Monday through Friday from 7:30 am to 4:30 pm. The role serves as the welcoming and hospitality-centered face of the firm to clients, guests, and firm members, making it pivotal in shaping first impressions and maintaining a professional atmosphere.
The Receptionist/Hospitality Assistant is responsible for greeting visitors warmly and professionally while managing the reception area with poise and efficiency. Beyond greeting guests, this role plays an integral part in supporting meetings, events, and day-to-day office operations. Duties extend to coordinating the readiness of conference rooms, ensuring these spaces are presentation-ready, clean, and well-organized. The role also entails arranging food and beverage services, stocking and maintaining kitchen and break room supplies, and providing essential administrative assistance such as filing, copying, scanning, order processing, and expense report management.
This position offers occasional opportunities to support after-hours meetings and events involving setup and cleanup activities, showcasing the flexible and team-oriented nature of the role. The ideal candidate is organized, detail-oriented, and adept at multitasking while maintaining a polished and professional demeanor. Job Duties
- Greet and welcome firm members, clients, and guests in a professional, courteous, and friendly manner
- notify firm members promptly of client and guest arrivals
- maintain conference rooms, ensuring they are clean, organized, and presentation ready
- coordinate conference room reservations and scheduling
- assist with the setup, support, and cleanup of meetings and firm events
- provide administrative support, including ordering lunches, filing, copying, scanning, and processing expense reports
- stock, organize, and maintain kitchen, break room, and food preparation areas
- arrange restaurant reservations for business dinners as requested
- pick up or coordinate the delivery of food, beverages, and other work-related items, and perform business-related errands as needed
- provide receptionist desk coverage as needed
