The Receptionist role at UHS is pivotal to ensuring smooth and efficient communication within the hospital environment, serving as the first point of contact for both internal and external visitors. Operating primarily at a bustling hospital reception desk, the Receptionist is responsible for managing a multi-line switchboard system to handle a high volume of incoming, outgoing, and inter-office calls, routing them promptly and accurately to the correct departments. Beyond telephonic communication, this role demands exceptional interpersonal skills to greet and screen visitors with professionalism and courtesy, ensuring the security protocols of the hospital are upheld by monitoring access and visitor traffic. The role also includes monitoring communication logs daily, assisting applicants with employment inquiries, and adhering strictly to the hospital's safety and security policies.

Job Requirements

  • Must be able to complete new hire requirements such as State of Alaska Background Check and Drug Testing
  • Must demonstrate special training, knowledge and skills specific to the reception desk within first three months of employment
  • Must complete all mandatory in-services annually
  • Must be tested for Tuberculosis with a PPD skin test or chest x-ray upon hire and maintain annual or tri-annual testing thereafter
  • Must be at least 21 years old

Job Qualifications

  • High school degree or equivalent
  • Two years’ experience operating a multi-line switchboard preferred
  • Ability to perform assignments with minimal supervision
  • Ability to work successfully under highly stressful conditions
  • Ability to make sound, independent judgments based on scientific and/or ethical principles
  • Capability to adapt to varying workloads and work assignments consistently
  • Effective comprehensive reading skills
  • Strong written and verbal communication skills
  • Working knowledge of computers

Job Duties

  • Answer and respond to incoming telephone calls promptly and in a pleasant, courteous, and clear manner
  • Carefully screen calls before transferring them to the appropriate units ensuring patient confidentiality
  • Use pages appropriately over the intercom system, limiting them to emergencies, caller requests, or authorized announcements
  • Screen all visitors before allowing them past the hospital lobby, ensuring they check in and out
  • Support the hospital’s safety and security programs by complying with policies and procedures
  • Remain calm and efficient in crisis situations
  • Work closely with the Intake department to follow procedures for prospective patient arrivals
  • Keep hospital lobby areas clean and tidy at all times
  • Sign for and receive incoming deliveries, notifying the receiver accordingly
  • Greet and respond to employment applicants and guide them on how to apply online
  • Read daily communication logs for updates
  • Perform other duties as assigned
