Job Description

The role of Receptionist at PACE of the Triad West is a full-time, non-exempt position reporting directly to the HR Director. The Receptionist serves as the frontline representative of the organization, tasked with managing all incoming visitors, participant interactions, and staff inquiries with professionalism and efficiency. This role is essential in ensuring smooth communication within the facility and providing an excellent customer service experience to participants, their families, staff, and visitors. The Receptionist is responsible for answering a multi-line telephone system, routing calls to the appropriate personnel or external vendors, and handling messages accurately. Additionally, this position involves monitoring the sign-in and sign-out procedures, overseeing the lobby area for safety and security, and participating actively in emergency evacuation protocols.

Beyond greeting and managing the flow of people, the Receptionist offers clerical support, including preparing documents, sorting mail, scheduling appointments and meetings, and performing other administrative duties as assigned. The role requires someone with a high school diploma or equivalent and at least one to two years of experience in a receptionist or front desk role. Proficiency with common office software such as Microsoft Word, Excel, PowerPoint, Outlook, and Office 365, along with data entry skills, is necessary. The Receptionist must demonstrate excellent verbal and written communication skills, strong attention to detail, and the ability to handle multiple tasks in a dynamic environment with frequent interruptions. Reliability, initiative, and the ability to represent the organization positively at all times are critical for success in this position.

Physical requirements include the ability to bend, stoop, stretch, stand, and sit for extended periods, operate standard office equipment, and lift items weighing approximately 30 pounds. Job Requirements

Job Duties

  • Answer multi-line telephone system and direct calls accordingly
  • Screen and route messages and information to appropriate staff or vendors
  • Greet visitors and participants, directing them to correct destinations
  • Monitor sign-in and sign-out processes ensuring safety and security in the lobby
  • Participate actively in emergency evacuation procedures
  • Provide general administrative and clerical support including preparing documents and sorting mail
  • Schedule appointments and meetings manually or electronically
  • Maintain tidiness and organization of the reception area
  • Handle queries from the public, participants, and families as directed
  • Monitor staff movements in and out of the building
