Job Requirements
- High school diploma or equivalent
- Prior experience in reception or administrative support preferred
- Proficiency with Microsoft Office Suite
- Strong verbal and written communication skills
- Ability to handle multiple tasks efficiently
- Comfortable managing phone systems and visitor check-in
- Flexibility to travel occasionally between Bedford and Billerica
- Ability to work full-time, on-site from 8 am to 5 pm, Monday through Friday
Job Qualifications
- Prior administrative, receptionist, or customer service experience preferred
- Strong communication and interpersonal skills
- Ability to multitask in a fast-paced environment
- Comfortable using systems such as ServiceNow, Microsoft Office Suite, and visitor management tools
- Ability to travel occasionally between Billerica and Bedford locations based on business needs
Job Duties
- Greet and assist employees, visitors, vendors, and customers in a friendly and professional manner
- Answer incoming calls and transfer to the appropriate employee
- Create, update, and resolve administrative ServiceNow tickets related to office support
- Manage employee seating assignments and coordinate with office services when changes are needed
- Process and manage CCURE badge access requests for employees and visitors
- Oversee daily front office tasks including coffee ordering, printer and mail rounds, supplies coordination, and general workspace upkeep
- Provide occasional on-site coverage at Bedford facility as needed
- Administer safety training and sign off to contractors
- Coordinate visitor check-in and ensure compliance with security procedures
- Close out weekly preventative maintenance tasks using SAP
