Serving the Heart of the Hudson region, this organization fosters a supportive environment where young girls can build crucial skills, gain confidence, and become active, responsible citizens. With a strong commitment to inclusivity and diversity, GSHH provides opportunities for girls from various backgrounds to participate in programs that promote their growth and well-being. The organization is deeply rooted in its community, working alongside families, volunteers, and local leaders to enrich the lives of its members and create lasting positive impacts.
The Project Coordinator/Event Planner role at GSHH is a vital position within the organization, responsible for the effective planning, coordination, and execution of a wide range of projects and events. The person in this role works in close partnership with the leadership team to ensure that all projects and events align with the strategic goals and mission of GSHH. This position requires a highly organized, detail-oriented individual who thrives in a fast-paced nonprofit environment. The Project Coordinator/Event Planner will support initiatives such as fundraisers, workshops, and community programs that advance the Girl Scouts’ mission of building courage, confidence, and character in girls.
This role involves managing logistics including venue bookings, vendor coordination, participant registration, and audiovisual setup to guarantee smooth event operations. Additionally, the position oversees budget planning and financial tracking to ensure projects remain cost-effective and within prescribed budgets. The Project Coordinator/Event Planner acts as the primary contact for event-related communications, coordinating with staff, volunteers, and external partners. Strong proficiency in project management software like Microsoft Planner is essential to track tasks, timelines, and progress effectively.
An important aspect of the job includes ensuring compliance with local regulations such as ADA, DOH, and ACA to make events accessible and inclusive for all participants. The individual will be responsible for promoting inclusive practices and regularly assessing accessibility measures at events. The role also demands support for event logistics including transportation of materials and equipment as well as managing multiple schedules and calendars. Administrative duties include preparing agendas, recording meeting notes, managing invoices, monitoring expenditures, and maintaining comprehensive project documentation.
Successful candidates will have a bachelor’s degree or equivalent experience in event planning, business administration, or a related field, along with considerable experience in project coordination and event planning preferably within a nonprofit setting. Strong communication skills, both written and verbal, are imperative, along with the ability to work autonomously and collaboratively. Flexibility, problem-solving ability, and adaptability are crucial to navigating the dynamic nature of nonprofit event management. A valid driver’s license and willingness to travel within the organization’s geographic footprint are also required.
