The role of the Patient Services Coordinator at SynergenX-Low T Center-HerKare is essential in maintaining the smooth operation of the clinic and ensuring a positive patient experience. This position serves as the primary point of contact for patients and visitors, greeting them warmly and managing the flow of appointments efficiently. The coordinator is responsible for overseeing front desk operations, handling appointment scheduling, managing patient billing and insurance inquiries, and processing payments accurately. By acting as a knowledgeable liaison in insurance matters, the Patient Services Coordinator helps patients understand their coverage, benefits, and any out-of-pocket costs in a compassionate and clear manner.

This dynamic role requires excellent communication skills, organizational expertise, and a keen attention to detail to support the clinic staff effectively. The Patient Services Coordinator also undertakes administrative duties such as inventory management, managing communications via phone, email, and fax, and ensuring compliance with HIPAA and clinic policies. With responsibility over patient account activities, the coordinator plays a pivotal role in fostering patient retention by delivering exceptional customer service and maintaining a clean, organized, patient-friendly front desk and waiting area.

This full-time, hourly position offers $20 per hour and includes a comprehensive benefits package. SynergenX-Low T Center-HerKare provides two weeks of paid training to ensure new hires are well-equipped to begin their roles confidently. Clinic hours require flexibility, including availability on 2 to 3 Saturdays per month to accommodate patient needs. Job Requirements

  • High school diploma or equivalent
  • Associate degree preferred
  • Previous experience in a healthcare or front office setting preferred
  • Strong customer service and communication skills
  • Ability to handle sensitive patient information with confidentiality and professionalism
  • Proficiency in basic computer programs and electronic communication
  • Highly organized and detail-oriented
  • Pass a criminal background check
  • Clinic hours availability including some Saturdays

Job Qualifications

Job Duties

  • Greet patients warmly, check them in, and room them for their appointments
  • Review, explain and resolve patient billing and insurance questions
  • Serve as a subject matter expert in explaining insurance coverage, explanation of benefits and out of pocket costs to patients in a clear confident and compassionate manner
  • Enter and update patient information and insurance details accurately
  • Answer incoming phone calls promptly and professionally, directing calls and taking messages as needed
  • Collect and process payments accurately when necessary
  • Perform bi-monthly inventory based on center needs
  • Attend monthly, quarterly or annual meetings as necessary
  • Monitor and respond to center emails, text messages and faxes throughout the day, ensuring timely communication and follow up
  • Ensure compliance with HIPPA and clinic policies
  • Complete cash deposits at the bank twice weekly and maintain accurate records daily on the End Of Day spreadsheet
  • Support clinic staff with administrative and clerical tasks as needed
  • Maintain a clean, organized, patient friendly front desk and waiting area
  • Keep snacks and supplements organized and stocked.
