Job Description
New Season Treatment Centers is a nationally recognized healthcare service provider specializing in outpatient treatment for individuals affected by Opioid Use Disorder (OUD). With over 30 years of dedicated service, New Season operates more than 70 treatment centers across multiple states, striving to deliver safe, quality, and compassionate care to those battling OUD. The Patient Registration Coordinator plays a vital role within New Season's clinical operations, specifically within the clinic department, reporting directly to the Program Director. This non-exempt position is responsible for providing clerical and administrative support essential to the patient intake and registration process in a healthcare setting. The role involves greeting, registering, and admitting patients efficiently and accurately, while also scheduling appointments to optimize patient flow and resource utilization.
Key responsibilities include completing the pre-registration process for all new patients, monitoring patient activity within the treatment center, and serving as a primary point of contact for patient inquiries. Additionally, the Patient Registration Coordinator collects co-payments and any financial obligations due at the point of service, ensures that all demographic, billing, and clinical information is accurately recorded in the registration system in a timely manner, and maintains open communication with the Program Director, physicians, and nursing staff regarding patient intakes.
An important function of the role is verifying insurance benefits and securing prior authorizations when necessary, which requires a thorough understanding of health insurance policies and electronic health record systems. The coordinator also manages various administrative tasks such as answering phones, handling mail, maintaining and ordering supplies, and ensuring confidentiality and safeguarding of patient and business information.
This role demands strong customer service skills, attention to detail, and the ability to effectively communicate with patients and clinical staff alike. Job Requirements
- High school diploma or GED
- Minimum of 1 year receptionist and cashier or related experience
- Minimum of 1 year healthcare experience
- Ability to read, write legibly, and comprehend written and spoken words
- Basic computer literacy
- Ability to learn new software
- Strong communication skills
- Ability to maintain confidentiality
- Ability to operate in an open work area with moderate noise
- Sedentary work mostly sitting
- Ability to exert up to 10 pounds occasionally
- Ability to add, subtract, multiply, and divide
- Ability to present information effectively
- Insurance verification experience required
- Previous patient coordination experience preferred but not required
Job Qualifications

Job Duties
- Complete the pre-registration process for all new clients and schedule appointments accordingly
- Orient new patients and monitor all patient activities on center premises
- Provide customer service as a point of contact for patient inquiries
- Collect co-payments and patient financial responsibility at the time of service
- Ensure all necessary demographics, billing, and clinical information is entered accurately and timely in the registration system
- Maintain communication with Program Director, physicians, and nursing staff regarding intakes
- Verify insurance benefits and obtain prior authorizations as needed
- Perform administrative tasks including answering phones, checking and delivering mail, maintaining supply inventory, ordering supplies, and verifying receipt
- Maintain confidentiality and safeguard business operations
- Collaborate with Clinic Operations Team to meet individualized goals
- Adhere to service policies and principles of New Season Treatment Centers
