The Patient Care Coordinator position located in Rutherford, NJ, is an essential role within the Optum Care Delivery team. This role involves supporting clinical operations by managing patient registration, insurance verification, appointment scheduling, medical records management, and adherence to policies and standards. The position works closely with multidisciplinary teams to facilitate smooth patient flow and ensure excellent customer service. The Patient Care Coordinator is expected to follow Lean processes focused on quality and efficiency while helping clinics meet financial, clinical, and service goals.

This role requires a dedication to accuracy, organization, and attention to detail, particularly in handling patient information, claims processing, and compliance with privacy regulations such as HIPAA and OSHA. Working hours are designed to provide coverage throughout the week, including some weekends and rotating holidays, emphasizing flexibility and teamwork. The individual will be responsible for various tasks such as insurance verifications, document scanning, referral processing, appointment coordination, and continual learning through new clinical competencies.

Job Requirements

  • High school diploma or GED
  • Minimum 1 year of experience in a medical office role or healthcare environment
  • Basic computer skills and proficiency in MS Office applications
  • Ability to travel up to 10% for covering other office locations
  • Reliable transportation
  • Compliance with HIPAA and OSHA regulations
  • Strong customer service and communication skills
  • Ability to work weekends and rotating holidays as scheduled

Job Qualifications

  • High School Diploma/GED
  • 1+ years of experience in a medical office or healthcare setting performing scheduling, check-in/out, insurance verification, co-pay collection, or medical records maintenance
  • 1+ years of computer proficiency including MS Word, Excel, Outlook, and multiple web applications
  • Ability to travel 10% of the time with reliable transportation
  • Knowledge of Epic EMR software preferred
  • Bilingual in Spanish and English preferred
  • Strong organizational and time management skills
  • Ability to multitask and prioritize
  • Excellent verbal and written communication skills
  • Ability to work independently and maintain good judgment
  • Ability to work well with healthcare providers
  • Ability to work under pressure in a fast-paced environment

Job Duties

  • Obtain accurate and updated patient information, such as name, address and insurance information
  • Perform insurance verification on the date of service
  • Obtain patient signatures for required documents
  • Upload a valid government issued state ID of patient and patient insurance cards
  • Accurate and complete occupational medicine registration workflow
  • File and maintain medical records
  • Consistently correct registration work queue errors
  • Confirm and schedule appointments
  • Answer telephone calls promptly and courteously
  • Perform referral documentation promptly
  • Work daily in the claims edit work queue to correct registration errors for submission to insurance companies
  • Perform follow-up services for patients, such as scheduling specialist and follow-up appointments, and obtaining lab results or specialist reports
  • Adhere to Optum employee policies
  • Work cohesively with team members to achieve goals
  • Maintain patient confidentiality and comply with HIPAA and OSHA requirements
  • Work efficiently in a high-paced environment
  • Participate in care planning and coordination
  • Ensure continuity of care through scheduling and tracking systems
  • Communicate effectively with patients, families, and healthcare professionals
  • Notify clinical staff of schedule changes
  • Comply with administrative policies to ensure quality of care
  • Scan and monitor documents and fax server
  • Participate in orientation of new employees
  • Perform other related duties as required
  • Organize medical records
  • Complete new clinical competencies
