The Patient Care Coordinator role at Optum is an essential position focused on facilitating smooth patient interactions and supporting the clinical care team. This full-time position includes a 40-hour work week from Monday through Friday, with occasional rotating Saturday shifts, providing flexible but structured scheduling within business hours. Located at 201 Route 17 North, Eleventh Floor, Suite 1101 in Rutherford, NJ, the Patient Care Coordinator plays a pivotal role by ensuring that patient information is accurately collected, verified, and maintained, thereby contributing to the efficiency and quality of care delivery.

As a Patient Care Coordinator, you will be responsible for performing insurance verification, managing patient appointments, obtaining patient consents, and maintaining documentation in alignment with Optum's Lean processes and organizational policies. This role requires collaboration with various care team members to meet financial, clinical, and service goals while excelling in customer service. Key duties also include addressing patient inquiries courteously, resolving registration errors efficiently, and participating in multidisciplinary planning to ensure continuity of care. Job Requirements

  • Minimum 1 year experience working in medical office or healthcare setting
  • Proficiency in MS Word Excel and Outlook
  • Ability to use multiple web applications
  • Reliable transportation and ability to travel up to 50% of the time
  • Strong communication and organizational skills
  • Ability to work effectively in a fast-paced environment
  • Commitment to maintaining patient confidentiality and complying with HIPAA and OSHA regulations

Job Qualifications

  • High school diploma or GED
  • 1+ years of experience in a medical office performing duties such as scheduling appointments checking patients in/out insurance verification collecting co-pays maintaining medical records or healthcare experience
  • 1+ years of computer proficiency including MS Word Excel and Outlook ability to use multiple web applications
  • Ability to travel up to 50% to cover other offices if needed
  • Knowledge of Epic EMR software preferred
  • Bilingual in Spanish and English preferred
  • Ability to work independently and maintain good judgment and accountability
  • Demonstrated ability to work well with health care providers
  • Strong organizational and time management skills
  • Ability to multi-task and prioritize tasks to meet deadlines
  • Ability to work well under pressure in a fast-paced environment
  • Excellent verbal and written communication skills ability to convey and interpret information clearly

Job Duties

  • Obtain accurate and updated patient information such as name address insurance information
  • Perform insurance verification on the date of service
  • Obtain patient signatures for required documents
  • Upload a valid government issued state ID of patient and patient insurance cards
  • Accurate and complete occupational medicine registration workflow
  • File and maintain medical records
  • Consistently correct registration work queue errors
  • Confirm and schedule appointments
  • Answer telephone calls promptly and courteously
  • Perform referral documentation promptly
  • Work daily in the claims edit work queue to correct registration errors for submission to insurance companies
  • Perform follow-up services like scheduling specialist appointments scheduling follow-up appointments obtaining copies of lab results or specialist reports
  • Adhere to the standards identified via Sparq regarding Optum employee policies
  • Work cohesively with fellow employees to achieve team goals
  • Comfortable working in high pace environment
  • Participate in planning coordinating and implementing care with multidisciplinary team per plan of care
  • Assure continuity of care through scheduling and tracking systems
  • Provide effective communication to patient family team members and other health care professionals
  • Notify clinical staff of schedule changes as they occur
  • Comply with administrative policies to ensure quality of care
  • Demonstrate precision and efficiency in scanning documents monitoring fax server and assigning to electronic chart
  • Participate in orientation scheduling segment of new field employees and distribute updates and changes as needed
  • Perform other related duties and assignments as required
  • Organize and maintain medical records
  • Keep abreast of current medical requirements maintain patient confidentiality and abide by HIPAA and OSHA requirements
  • Complete new clinical competencies rolled out by educational committee
  • Perform other duties as assigned
