We are currently seeking an exceptional Client Experience Coordinator to become the operational heartbeat of our team. This role is central to the seamless running of the wellness center as it serves as the first point of contact for every client. The coordinator is responsible for ensuring that every interaction—from the initial phone call to the final checkout—is handled with utmost professionalism and care consistent with Yacobewell’s luxury service standards.

The Client Experience Coordinator will manage the daily scheduling, confirmations, and proactive lead follow-up, making sure that operations flow smoothly. This individual will be a client advocate, ensuring all intake forms are complete and inquiries are answered with empathy, while also driving client retention through effective rebooking strategies, education on combo services, and retail recommendations. The coordinator plays a key role in maintaining the clinic’s premium aesthetic by overseeing cleanliness, organization, and laundry operations to uphold a welcoming and luxurious clinic environment.

Being the tech lead for the front office, this role also includes managing bookings, maintaining financial records, and overseeing communications to streamline processes and enhance efficiency. The coordinator will closely partner with therapists to ensure that both the team and facility are always ready to provide top-tier treatments.

This part-time position involves working three shifts per week, totaling 12 to 18 hours. The schedule includes two morning shifts (with one required on Saturday) and one afternoon shift, each lasting 4 to 6 hours. Job Requirements

  • High school diploma or equivalent
  • 1-2 years of experience in customer service hospitality or medical setting preferred
  • Strong organizational and multitasking ability
  • Excellent communication skills both written and verbal
  • Proficiency with technology and booking software
  • Ability to work a flexible schedule including weekends
  • Commitment to providing luxury client service experience

Job Qualifications

  • Current enrollment in an aesthetics or massage therapy program highly preferred
  • 1-2 years in high-end customer service hospitality or a premium medical setting is a plus
  • Exceptional communication skills with a problem-solving mindset
  • Tech-savvy and comfortable learning new booking and administrative software quickly
  • Bilingual English/Spanish is a nice-to-have not required
  • Mature collaborative and proactive with a strong work ethic
