Union Pine has been a cherished wedding and event venue in Portland for the past 15 years, gaining a reputation for crafting unforgettable experiences that serve as a vital hub for community, creativity, and celebration. Established in Portland, this venue has expanded over the years to include Bar West, a restaurant and event venue that opened in 2018 in NW Portland, and more recently, in 2022, the ongoing restoration and development of Deep Creek Farmstead, a seven-acre creekfront property. These expansions reflect Union Pine's commitment to growth, innovation, and offering diverse spaces that cater to various event needs, from intimate gatherings to large-scale weddings.

As their longstanding Event Director prepares for maternity leave, Union Pine is excited to welcome an experienced Event Coordinator to join their team and help lead the future successes of their venues.

The Event Coordinator role at Union Pine is a dynamic and integral position responsible for overseeing the planning, logistics, and flawless execution of events at both Union Pine and Deep Creek Farmstead. This role requires a highly organized, proactive, and creative individual who thrives in fast-paced environments and can confidently manage various types of events, including weddings, corporate functions, and in-house celebrations. The successful candidate will collaborate closely with leadership on event operations, venue management, bar programming, staffing strategies, and guest experience enhancements.

In this role, the Event Coordinator will lead event planning from start to finish, managing timelines, vendor relationships, staffing, rentals, catering, and venue setup to ensure every event is memorable and successful. Given that many events will be managed independently, prior bartending, serving, and hands-on hospitality experience is highly valued. This experience contributes to a comprehensive understanding of hospitality, enabling the coordinator to anticipate guests' needs and respond swiftly to day-of challenges.

Job Requirements

  • 5+ years of event management experience
  • leadership or senior-level responsibilities in event management
  • strong background in wedding production and hospitality-focused events
  • ability to manage multiple projects simultaneously
  • excellent communication and organizational skills
  • experience with vendor and staffing coordination
  • proficiency with Google Workspace
  • ability to work independently and problem-solve
  • availability to work in Portland, Oregon

Job Qualifications

  • 5+ years of event management experience, including leadership or senior-level responsibilities
  • strong background in wedding production and hospitality-focused events
  • proven ability to manage multiple projects simultaneously while maintaining exceptional attention to detail
  • excellent communication, organizational, and interpersonal skills
  • experience coordinating vendors, staffing, budgets, and timelines
  • ability to work independently, problem-solve quickly, and lead with confidence
  • proficiency with Google Workspace and event management software
  • experience with Perfect Venue, Adobe Illustrator, and InDesign is a plus
  • passion for creating thoughtful, memorable guest experiences

Job Duties

  • lead the planning and execution of events ranging from corporate gatherings to weddings of up to 150 guests
  • oversee event logistics including timelines, vendor coordination, staffing, rentals, catering, and venue setup
  • collaborate with leadership on bar programming, staffing strategy, and work day of bartending shifts
  • develop and produce in-house events, including budgeting, marketing coordination, and vendor management
  • serve as a primary point of contact for clients throughout the planning process
  • build and maintain strong relationships with vendors, clients, and internal teams
  • troubleshoot day-of challenges and proactively manage event flow to ensure seamless execution
  • support ongoing venue operations and contribute to the continued growth of both properties
