The Parks Event Coordinator position plays an essential role within this dynamic department. This full-time exempt role, compensated hourly between $24.16 and $36.24, reports directly to the Recreation Superintendent and exercises supervision over event personnel. The primary responsibility is the comprehensive coordination of customer service, facility reservations, permitting, contracts, and administrative duties related to special events and public use of parks and recreational venues. Acting as the primary liaison among customers, community organizations, event organizers, City departments, and external agencies, the Parks Event Coordinator ensures the smooth execution of various events throughout the city.

Key job functions include reviewing and evaluating event proposals to assess their suitability in terms of size, location, resources, and safety; conducting site visits and planning meetings with organizers; securing required permits, insurance, and operational approvals; managing reservation systems and financial processes such as invoicing and payment reconciliation; and disseminating critical event information to maintenance teams, emergency services, and city leadership. The coordinator also oversees the operational readiness of park facilities and performance venues, coordinating necessary maintenance, repairs, and equipment logistics.

Additionally, this role involves direct supervision of technical and event staff, including audio engineers and parks event workers. The Parks Event Coordinator plans, coordinates, and executes community events as well as department-sponsored public participation opportunities whenever funding allows. The position demands flexibility to work some nights and weekends, handle after-hours troubleshooting, and drive city vehicles safely as part of its duties.

Job Qualifications

  • Six months post high school education
  • Two years of relevant experience
  • Bachelor's degree in recreation, business administration, event management, or a closely related field preferred
  • Four years of experience in planning, logistics, and coordination of large-scale events preferred
  • Two years of supervisory experience overseeing event staff preferred
  • Experience issuing permits for large-scale events preferred
  • Knowledge of and experience with sound and lighting systems preferred
  • Valid Arizona Class D Driver License
  • Ability to work some nights and weekends and respond to after-hours calls
  • Strong organizational and communication skills
  • Ability to supervise staff and coordinate multiple stakeholders

Job Duties

  • Interface with constituents, community members, and prospective clients to assess needs and match them with appropriate park venues
  • Review and evaluate proposed events to determine suitability for city parks and facilities based on event size, operational impacts, site characteristics, public safety considerations, and available resources
  • Conduct site visits and planning meetings with event organizers to assess operational needs and identify potential impacts to parks, facilities, and surrounding areas
  • Coordinate and manage the reservation of event spaces, including processing permits, contracts, and related documentation
  • Assist constituents in securing required liability insurance and operational permits in compliance with city risk management standards and applicable requirements
  • Invoice and process payments for rental fees, permits, and associated charges
  • disseminate event information to relevant departments and stakeholders
  • Oversee operational readiness of performance venues and park facilities, including coordination of repairs, maintenance, and equipment needs
  • Coordinate with vendors, contractors, and volunteers to support successful event execution
  • Supervise technical and event staff, including audio engineers and parks event workers
  • Plan, coordinate, and execute community events and department-sponsored public participation events
  • Monitor event operations and work with organizers to ensure compliance with permit conditions, safety requirements, and approved event plans
  • Perform all other duties and tasks as assigned
