The role of Office Manager at Macktez is essential to maintaining a positive, organized, and efficient office environment within the East Village location. This position is designed for a highly organized and detail-oriented professional who thrives in a fast-paced setting and enjoys multitasking across various responsibilities. Reporting directly to the Chief Operating Officer (COO), the Office Manager will be the cornerstone of the physical office space, responsible for creating a warm and welcoming atmosphere for both employees and visitors. The role includes managing office facilities and infrastructure, coordinating vendor services such as custodial and HVAC, overseeing office inventory, and ensuring workspace logistics are optimized for team productivity.

In addition to facility management, the Office Manager will handle general administrative and financial duties including processing vendor invoices, tracking expenses, and managing client payment records with accuracy. This role supports HR processes by assisting with employee onboarding and maintaining personnel records, contributing to a seamless internal workflow. Procurement responsibilities involve managing technology and equipment purchases from initial quotes through to delivery, alongside handling shipping, receiving, packaging, and staging of client devices.

Beyond operational tasks, the Office Manager will also lead culture-building initiatives by organizing team events, managing invitations, catering, and event logistics, and supporting internal communication efforts to keep the team connected and informed. This position is integral to sustaining an engaging and supportive workplace culture at Macktez.

This full-time, exempt role requires on-site presence in the East Village office at least four days per week with a typical schedule from Monday to Friday, 9 am to 6 pm, and occasional evenings for event support. Candidates must be authorized to work in the United States without sponsorship and be physically able to lift and carry items up to 30 pounds and navigate stairs.

The compensation for this role ranges from $65,000 to $80,000 per year, reflecting the level of responsibility and expertise required. Job Requirements

Job Qualifications

  • 4-7 years of professional experience ideally in office management or administrative support
  • strong organizational skills with ability to manage multiple priorities in a fast-paced environment

  • high attention to detail especially with facilities budgeting and administrative tasks
  • experience managing external vendors and coordinating service providers
  • proficiency with common workplace software including Google Workspace and Slack
  • ability to work on-site in Macktez’s East Village office at least 4 days per week including occasional evenings for events
  • ability to lift and carry items weighing up to 30 pounds and use stairs
  • experience planning and executing events for groups of 20-100 people preferred
  • experience with bookkeeping accounts payable or HR administration preferred
  • experience creating office manuals or improving workplace operating procedures preferred
  • proactive can-do attitude enjoying problem-solving and enhancing team effectiveness preferred

Job Duties

  • Oversee day-to-day office operations ensuring the workplace is organized welcoming and well-maintained
  • serve as the first point of contact for office maintenance and repair requests coordinating with building management and external vendors
  • manage office inventory and workspace logistics to ensure the team has needed resources
  • coordinate office furniture layouts and space planning including for special events
  • process vendor invoices track expenses and record client payments accurately
  • provide administrative support to the Operations Group and executives including scheduling and document preparation
  • support recurring HR processes including employee onboarding and personnel record maintenance
  • improve internal workflows and documentation to enhance administrative efficiency
  • manage procurement for client and internal projects coordinating technology purchases from quote through delivery
  • maintain purchasing documentation vendor records and order tracking
  • coordinate shipping receiving staging and delivery logistics for client equipment
  • configure package and ship client devices following established procedures
  • coordinate logistics for team gatherings including invitations catering supplies room setup and cleanup
  • support team communications and organizational updates to ensure connectivity and information flow
