The Food & Beverage Operations Coordinator role at Flow is an essential part of the company’s growth and success in delivering exceptional hospitality experiences across multiple locations. This position plays a critical role in building the operational backbone of the Food & Beverage segment encompassing various kitchens, cafes, grocers, and event spaces. The coordinator will be responsible for creating and improving structures and workflows that enhance day-to-day operations, ensuring the highest standards of service and efficiency. Key responsibilities include overseeing staffing and hiring processes in partnership with leadership and HR teams, maintaining operational systems including SOPs and POS management, coordinating communication across departments, and managing projects from inception to completion.
Candidates for this role should bring a passion for hospitality, excellent organizational skills, and a proactive, detail-oriented approach. The role requires hands-on experience with the Toast POS system, expertise in managing menus, pricing, and sales data, as well as strong project management capabilities to track ongoing initiatives and assist with event logistics. Job Requirements
- 2-3 years of relevant food and beverage or hospitality experience
- Experience using Toast POS system
- Strong organizational and project management skills
- Excellent communication abilities
- Detail-oriented mindset with accountability
- Proficiency in Google Workspace and Microsoft Office
- Ability to work cross-functionally and independently
- Capacity to commute to multiple Flow locations

Job Qualifications
- 2-3 years food and beverage management or hospitality operations experience
- Passion for healthy food, wellness, and hospitality
- Hands-on Toast POS experience including menus, pricing, product management, and reporting
- Exceptional organizational and project management skills
- Strong communication and follow-through
- Detail-oriented with a strong sense of accountability
- Comfortable working cross-functionally across departments
- Advanced proficiency with Google Workspace and Microsoft Office
- Ability to thrive in a fast-paced, evolving environment
- Must be able to commute and travel between Flow properties
Job Duties
- Partner with leadership and HR to coordinate hiring
- Schedule interviews, onboarding, and training
- Track staffing needs across locations
- Maintain employee records and onboarding documentation
- Coordinate uniforms, training schedules, and coverage
- Maintain operational task lists and follow up on pending items
- Coordinate communication across kitchens, cafes, grocers, logistics, purchasing, marketing, and leadership
- Prepare meeting agendas and action items
- Support implementation of new operational procedures and standards
- Maintain SOPs, operational manuals, and training documents
- Organize digital files and operational trackers
- Manage Toast POS updates, product setup, pricing, menus, and data accuracy
- Build systems that improve how we work
- Manage purchase orders, vendor communication, invoices, deliveries, inventory reports, and ordering schedules
- Track COGS and maintain operational documentation
- Coordinate timelines for operational initiatives
- Follow up with vendors, contractors, suppliers, and internal teams
- Track permits, construction, and projects through completion
- Coordinate logistics for events, promotions, product launches, and community activations with marketing
- Maintain food safety documentation, licenses, and operational records across locations
- Uphold company standards
