The role of Operations & Executive Coordinator at AZAK is critical to the smooth functioning and growth of the company’s operations. Reporting directly to the COO, Anna Han, this position involves supporting company operations, coordinating facilities and logistics, managing compliance with training requirements, and assisting in onboarding and offboarding processes. The individual in this position will also provide essential administrative support to executive leadership and help coordinate special projects. The ideal candidate will be detail-oriented, resourceful, and adept at thriving in a fast-paced, mission-driven startup environment. Key responsibilities include managing the physical office environment, coordinating building management services, overseeing office supplies and inventory, and supporting logistics for company events and marketing initiatives.
Additionally, this role supports the employee lifecycle by facilitating onboarding and offboarding, maintaining training compliance, and fostering company culture through team events. The Operations & Executive Coordinator also plays an important role in executive assistance by managing scheduling, travel, expense reports, and preparing meeting agendas and documentation, while ensuring confidential information is handled with utmost discretion. This full-time position is based in Denver, CO, with a salary target ranging from $60,000 to $80,000. Job Duties
- maintain and manage the physical office environment including security system oversight and coordination with facility vendors
- ensure readiness and cleanliness of shared spaces oversee set-up and clean-up for team lunches on-site meetings and team events
- act as the coordinator for building management and service providers including insurance
- manage office supplies equipment and maintain inventory and reordering of office supplies
- coordinate shipping and receiving including incoming/outgoing packages and customer product shipments
- order office supplies for the company
- coordinate shipping requirements for company events tradeshows and product demonstrations
- facilitate the development and production of marketing assets including technical documentation signage and corporate collateral
- facilitate smooth onboarding for new hires and support offboarding
- support the implementation of company-wide policies and procedures
- order company swag
- foster community and the company culture through team events
- own and run all hands and company-wide meetings
- maintain and track company-required annual trainings including security IT and compliance-related topics
- provide administrative support to executive leadership including scheduling travel expense reports
- prepare agendas reports and documentation for meetings
- handle sensitive information with discretion
