The Onsite Event Specialist at Maritz serves a crucial role in ensuring the success of events by acting as the primary onsite point of contact. This role requires overseeing all event logistics, managing relationships with service partners such as catering, audio/visual, security, and transportation providers, and maintaining seamless communication between clients and internal teams. The specialist offers consultative support, quickly resolves any issues that arise, and ensures that all aspects of the event—registration, room setups, hospitality, food and beverage, activities, business meetings, technology use, and VIP guest handling—run smoothly. In addition to day-of support, responsibilities include conducting staff meetings, event space walkthroughs, and briefings to prepare the team for flawless execution. The role also involves crisis management preparedness and acting as the clients’ liaison throughout the event to provide timely updates and maintain satisfaction. This position is onsite, typically based in Sunnyvale, CA, with minimal travel requirements tied to specific events. Job Requirements
- Bachelor’s degree or equivalent experience
- Minimum of 2 years experience in meeting or event management or a related industry
- Ability to learn new technology solutions and work with multiple systems
- Strong communication and teamwork skills
- Proficiency in G Suite and Microsoft Office tools
- Ability to thrive in a fast-paced, changing environment
- Physical ability to stand for long periods and lift moderately heavy items
Job Qualifications
- Bachelor’s degree or equivalent experience
- Minimum of 2 years of experience in meeting or event management or a related industry
- Ability to learn new technology solutions and work with multiple systems
- Strong communication, teamwork, and leadership skills
- Proficiency in G Suite and Microsoft Office tools with the ability to learn new technology quickly
- Ability to thrive in an agile, continuously changing environment
- Physical ability to handle onsite demands including standing and lifting
- Experience leading a team is a plus
- Prior experience in high-touch client or VIP event management is desirable
Job Duties
- Act as the primary onsite contact for events, coordinating with catering, AV, security, and transportation partners
- Provide day-of-event support, including being on-call or onsite, running product demos, and capturing event documentation such as surveys and photos
- Conduct staff meetings, event space walkthroughs, and briefings as needed
- Manage onsite logistics for registration, rooms, hospitality desk, food and beverage, activities, business meetings, technology, and VIP handling
- Implement crisis management procedures and ensure communication plans are in place
- Serve as liaison to clients for onsite event logistics and keep all stakeholders informed of changes
- Collaborate with teams to define solutions and ensure the best event experience for clients and guests
