The Events Services Manager plays a pivotal role at Kessler Hospitality, specifically within the Grand Bohemian Lodge. This role focuses on servicing a wide range of events including room blocks, social events, weddings, and corporate gatherings. The position demands exceptional organizational skills and the ability to ensure seamless event execution while maintaining the highest standards of service quality. Operating in a fast-paced luxury hotel environment, the Events Manager serves as the primary liaison between clients and all operational departments. This ensures nothing is overlooked and that each event provides an exceptional and memorable experience for guests.

The Events Services Manager’s key responsibility is to create comprehensive event orders tailored to client specifications, which includes managing room blocks, food and beverage arrangements, meeting room setups, billing, and handling all additional client needs. They are tasked with enforcing contractual obligations related to meeting spaces, food and beverage, and concessions while ensuring proper communication and coordination with accounting to maintain accurate financial records like deposits, master folios, and guest payments. This role also involves collaborating closely with culinary operations to design and implement bespoke menus and maintaining thorough documentation of events, including changes, special requests, banquet event orders, group resumes, and rooming lists.

This position requires strategic business leadership capabilities to align event management activities with organizational goals. The manager is expected to build client engagement and loyalty, skillfully lead and motivate teams, manage multiple projects simultaneously, and encourage a culture of accountability. The role includes conducting site visits, pre-planning and post-event meetings, facilitating event-related meetings, and acting as the on-site client contact to promptly address any challenges that arise during events. The ideal candidate will also utilize various systems and sales platforms such as CI/TY or Delphi software for event planning and execution, as well as maintain accurate, organized records of all event-related activities.

Job Requirements

  • High school diploma or equivalent
  • minimum of 2 years experience in event management within a hotel setting
  • proficiency with Windows and Microsoft Office Suite
  • experience with sales software such as Salesforce, Delphi and SocialTables

  • ability to multitask and work under pressure

Job Qualifications

  • Minimum of 2 years of progressive experience in event management within a hotel setting
  • previous experience in a luxury hotel environment preferred
  • bachelor’s degree in Hotel Management, Event Management, or a related field is a plus
  • Certified Meeting Professional (CMP) certification is a plus
  • strong proficiency in Windows, Microsoft Office Suite, and sales software including Salesforce, Delphi and SocialTables
  • knowledge of food and beverage service, health department regulations, and liquor laws
  • excellent communication, organizational, and problem-solving skills
  • ability to multitask and perform effectively in a fast-paced, high-pressure environment

Job Duties

  • Create detailed event orders to meet the specifications of the client
  • manage room blocks, food and beverage requirements, meeting room setups, billing, and other additional needs of the client
  • communicate and enforce contractual agreements to the client pertaining to meeting space, food and beverage, and special concessions
  • responsible for the collection of attrition charges owed
  • ensure that all guest checks, payments, master folios and advanced deposits are submitted to accounting
  • ensure Rewarding Events points are posted following conclusion of event
  • collaborate with culinary operations to assist in development, design, and implementation of custom menus
  • maintain proper documentation of events, changes and special requests with updated Banquet Event Orders, group resumes and rooming lists
  • provide accurate and concise information to all departments
  • facilitate EO and group resume meetings
  • organize and conduct site visits, pre-planning visits, pre-con and post-con meetings
  • function as the on-site contact to client and address challenges or concerns immediately
  • presence required at the start of all functions and to remain on property until meal service has begun
  • maximize revenue by selling all facets of the hotel including restaurant, spa, gallery, and outlets for upselling
  • ability to work with vendors to ensure client satisfaction for all groups
  • generate thank you notes and service evaluations for all groups
  • greet all clients as they arrive on day of arrival
  • competently utilize required systems and platforms to detail and track group progress
  • maintain accurate, organized and up-to-date files including computer filing and sales platform records
  • actively participate in Sales and Catering conference calls
  • complete required reporting and documentation
