The Office Manager/Administrator role at Performance Beauty Group is a pivotal position based in their White Plains office, designed for an exceptionally organized, resourceful, and proactive professional. This high-impact position acts as the heartbeat of the office, managing daily operations and supporting a range of internal teams to ensure seamless organizational functioning. Key responsibilities include providing executive and personal assistant support such as complex calendar management, meeting coordination, travel planning, and expense management. The Office Manager/Administrator will coordinate domestic and international travel logistics, handling flights, accommodations, visa requirements, and itinerary creation while managing unexpected scheduling changes with ease. The role also partners closely with Human Resources to deliver a smooth onboarding experience for new hires by preparing workspaces, coordinating orientations, and assisting with HR projects. Collaboration with IT Support is essential for coordinating employee set-up activities such as provisioning equipment and troubleshooting system access issues.

Additionally, this role is responsible for planning and executing company events, from strategy sessions to holiday celebrations and team-building initiatives. Oversight of office operations, including managing supplies, kitchen inventory, and maintaining an inviting workplace atmosphere, is a core part of daily duties. Serving as a primary point of contact for internal and external stakeholders, the Office Manager/Administrator must maintain professionalism, discretion, and confidentiality in all communications. Project management of ongoing assignments and company initiatives is critical, ensuring deadlines are met and deliverables are completed efficiently. Preparing materials and managing logistics for meetings, including agenda coordination and note-taking, also falls under this role’s responsibilities. Job Requirements

  • Four years experience in executive assistant or similar office administration role
  • Three years administrative experience with verbal and written communication skills

Job Qualifications

  • High school diploma or GED required

  • At least 3 years administrative experience with strong verbal and written communication skills

Job Duties

  • Provide executive and personal assistant support including calendar management, meeting coordination, travel planning, and expense management
  • Coordinate domestic and international business travel arrangements including flights, accommodations, transportation, visa requirements, and itinerary creation
  • Partner with Human Resources to support onboarding, workspace preparation, and HR-related projects
  • Collaborate with IT Support for employee setup, equipment provisioning, and troubleshooting
  • Plan and execute company events such as strategy sessions, holiday events, and team-building activities
  • Oversee office operations including managing office supplies, kitchen inventory, and maintaining a positive office environment
  • Serve as primary contact for internal and external stakeholders, handling communications with professionalism and confidentiality
  • Liaise cross-functionally to coordinate projects, meetings, deliverables, and company initiatives
  • Project manage ongoing assignments ensuring priorities are organized and deadlines are met
  • Prepare materials and logistics for meetings including coordinating agendas, preparing presentations, taking notes, and maintaining records
