Job Description

The role they are currently recruiting for is an Office Manager based in the NYC Metro area, primarily responsible for ensuring the seamless day-to-day operations of their office environment. This position acts as the critical operational backbone of the company’s New York City office. The Office Manager will oversee various operational aspects including facilities management, vendor coordination, administrative workflows, inventory control, and sample logistics. This multifaceted role requires a highly organized and proactive individual who thrives in a fast-paced environment and has the capacity to manage multiple concurrent tasks efficiently. Communication skills and attention to detail are paramount, as the Office Manager serves as a central point of contact both internally among departments and externally with building management and service providers.
Responsibilities encompass maintaining a clean and professional office atmosphere, managing schedules and event coordination, and ensuring conference rooms and office equipment are always ready for use. The Office Manager is also tasked with regularly inspecting the facilities to identify and resolve maintenance and supply issues proactively, thereby supporting overall team productivity. Handling office inventory is another key aspect, managing over 1000 items including wine-related supplies and shipping materials. This requires diligent tracking, ordering, and record-keeping to support operational needs.
Administrative duties include managing the general office inbox, processing inbound checks, supporting cross-departmental communication, and coordinating new employee onboarding logistics such as workspace setups and building access. The Office Manager will also facilitate weekly sample transfers and coordinate outbound shipments, ensuring that all logistics comply with relevant regulations and company procedures.
Candidates must be comfortable working around wine and spirits, possess excellent organizational and communication skills, and demonstrate reliability and discretion. Experience with financial handling, Microsoft Office 365 applications, and familiarity with shipping platforms like FedEx and UPS are essential. A background in communications, business, or hospitality is preferred, as is a passion for the beverage industry. Job Qualifications
- Background in communications, business, or hospitality preferred
- passion for wine, spirits, and luxury hospitality a plus
- 2+ years of office management or administrative experience

- experience with inventory management or ERP systems
- excellent organizational and multi-tasking skills
