The Office Coordinator role at Kincell is an essential position that supports the backbone of the company’s day-to-day functions. This full-time, on-site position is located at the Gainesville, FL site, requiring presence during core business hours, Monday through Friday from 8:00 AM to 5:00 PM, with no remote work options available. As an Office Coordinator, the successful candidate will play a crucial role in overseeing business office management, ensuring smooth administrative operations, and enhancing employee engagement through effective event planning and coordination.

The Office Coordinator is responsible for a variety of tasks that include scheduling and organizing employee engagement events that foster employee morale and company culture. This role also involves managing receptionist duties and handling front-desk responsibilities, serving as the friendly first point of contact for visitors and employees alike. Travel coordination for executives is another key component of the position, including scheduling and assisting with expense report submissions and approvals.

Additionally, the Office Coordinator helps manage meeting logistics, including calendar coordination, room reservations, and catering arrangements, to ensure successful company meetings and site visits. Supporting special projects tied to department goals is also part of the role, requiring adaptability and teamwork. The coordinator will serve as an administrator for HR department platforms, facilitating recruitment, hiring, and onboarding processes, administering HR data and maintaining employee records.

Strong communication skills and discretion in handling sensitive business and employee information are paramount for this role. Proficiency in MS Office and other administrative tools is required to successfully manage company compensation data, prepare materials such as slide decks for town hall meetings, and maintain job postings on the company website and external platforms.

This position demands a proactive professional with at least five years of experience in office management or executive administration, equipped with the ability to handle multiple priorities efficiently in a fast-paced environment. While the physical demands are minimal, occasional lifting of objects weighing up to 25 pounds may be required. Job Duties

  • Plan, schedule, organize, and run employee engagement events
  • order and stock site refreshments, office supplies, and swag items
  • responsible for receptionist duties and front-desk responsibilities
  • assist executive staff with travel arrangements, scheduling, and expense report submissions and approvals
  • assist in coordinating and hosting site visits and managing meeting logistics such as calendar invitations, room reservations, and catering
  • assist with special projects as needed to support quarterly department goals
  • serve as administrator for HR department platforms and admin processes
  • assist staff with routine questions
  • update and maintain company compensation data and structure
  • organize and prepare slide deck and materials for meetings such as town halls
  • coordinate recruitment, hiring, and onboarding of new employees
  • complete administrative onboarding tasks for new hires
  • manage candidate communications and interview scheduling
  • update and maintain job postings for the company website and external job boards
  • update and maintain employee records
  • send site-wide and company-wide communications relating to site visits, employee engagement activities, etc.
