The Office Coordinator role is pivotal in maintaining the smooth daily operations of the community office. This position is hourly paid, offering between $17 and $18 per hour, and involves handling routine office work and administrative responsibilities essential to community management. The Office Coordinator serves as a primary point of contact within the community, greeting residents, guests, and prospective residents, fostering a welcoming atmosphere, and processing communications and transactions efficiently. Responsibilities include managing resident communications, posting payments, maintaining records, and assisting in event planning and resident relations activities. The role requires a mix of administrative proficiency, customer service skills, and basic accounting abilities, with the use of property management software such as Yardi and NetSuite preferred. Additionally, the Office Coordinator supports marketing efforts, rental processes, and coordination with different internal teams like underwriting and collections. Strong organizational skills, professional appearance, problem-solving abilities, and effective communication are crucial for this role. Job Duties

  • Greets and establishes rapport with guests, current and prospective residents
  • fields community comments, suggestions and complaints to the Community Manager
  • prepares and distributes resident and community communications such as rule reminders, violation notices, rent increase letters, delinquency notices, eviction paperwork, lease addendums and renewals
  • collects and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi
  • records in the proper accounts and issues receipts
  • completes and reconciles community reports including accounting reports, community traffic and activity reports
  • maintains records and files in accordance with the Operations Manual
  • performs general administrative functions such as answering phones, typing, copying, faxing, and filing
  • reviews and codes invoices and statements for Community Manager approval
  • schedules clubhouse rentals and processes rental fees
  • ensures office supplies are sufficiently stocked and prepares supply orders as needed
  • makes collection calls for site rental payments as directed by the Community Manager
  • submits bad debt files to collections
  • processes resident move-ins and move-outs in accordance with the Operations Manual
  • assists with planning and coordinating resident relations events and activities
  • assists with the preparation of marketing materials including brochures and flyers
  • refers all sales prospects to the Community Manager and enters prospect information into Yardi
  • assists prospective residents by checking the status of Sun Homes inventory, shows homes, and assists with applications
  • forwards Sun Homes customer service requests
  • completes new move-in incentive requests
  • coordinates with Underwriting team to obtain approvals
  • maintains petty cash fund and prepares bank deposit slips
  • makes daily bank runs
  • performs other duties as assigned
