Job Description

The University of Southern California (USC) is a prestigious private research university located in Los Angeles, California. Within USC, the Primary Care Physician Assistant (PA) Program is an integral part of the Department of Family Medicine, dedicated to educating and preparing the next generation of healthcare professionals to serve diverse patient populations with skill and compassion. The PA Program is currently seeking an energetic, organized, and team-oriented Office Assistant I to join the team. This is a full-time, in-person position located in Alhambra, CA. The role serves as the front-facing point of contact for the PA Program, interacting regularly with graduate students, faculty, staff, and prospective applicants. The selected candidate will work closely with the Admissions Team, supporting the admissions process as well as coordinating key program activities and events. This position is ideal for someone who enjoys working in a fast-paced academic environment and thrives on engaging with a diverse group of stakeholders. The successful candidate will contribute to the critical work of the program by facilitating smooth administrative operations and enhancing communication and coordination within the department.

The Office Assistant I will perform a balance of general office support tasks and admissions-specific duties, dedicating approximately 90% of their efforts to admissions functions. These responsibilities include serving as the program receptionist, managing communications via phone, email, and in person, coordinating meeting rooms and program events such as orientations and interview days, and overseeing document preparation and data entry. Additionally, the assistant will assist with application processing, payment management, and organizing admissions-related meetings, ensuring accuracy and timely communication throughout the admissions cycle.

This position offers an hourly wage of $23 to $23.50 and requires a workday of 7.5 hours. The role demands proficiency in general office tasks such as typing, filing, data entry, and the operation of office equipment. Experience with Mac systems and Microsoft Excel is preferred, as is prior exposure to a university or higher education setting. Strong organizational and communication skills are essential, along with the ability to manage multiple priorities in a fast-paced environment. Job Duties

  • Serve as the program receptionist answering phones responding to the program email inbox greeting visitors and managing incoming mail
  • Coordinate and book rooms for meetings and program activities
  • Assist with creating and distributing program communications including Mailchimp announcements brochures flyers and promotional materials
  • Support planning and coordination of program events including orientation interview days and committee meetings
  • Communicate effectively with prospective applicants faculty staff and students via in-person virtual email and telephone communication
  • Perform general administrative tasks including data entry e-filing document preparation and operating office equipment
  • Assist with application processing including downloading applications and processing payments
  • Prepare agendas and record meeting minutes for admissions-related meetings
  • Support the Admissions Team with interview days information sessions orientation graduate fairs and selection committee meetings
  • Provide administrative coordination for admissions activities and related communications
