The Office Administrator position at YES Communities plays a crucial role in supporting the daily operations of the communities managed by the company. Reporting to the Community Manager, the Office Administrator acts as the face of YES Communities, embodying professionalism and a welcoming attitude that reflects the company’s values. This role requires a versatile individual who can handle a wide range of tasks from direct resident interaction to administrative support duties. These tasks include answering phone calls, greeting residents and visitors, preparing and distributing correspondence, managing office files, ordering supplies, and processing payments. The Office Administrator is also responsible for assisting with scheduling maintenance requests and inspections, supporting move-in and move-out processes, and helping organize resident relations events.

Beyond the basic administrative duties, the Office Administrator is essential in fostering a positive and organized community atmosphere. This role demands excellent communication skills, both oral and written, and the ability to work independently with minimal supervision while demonstrating strong initiative and self-motivation. Proficiency in Microsoft Office and specific industry-related software is also required to efficiently manage office operations and documentation. Job Requirements

  • A valid in-state driver's license is required
  • High school diploma or equivalent is preferred
  • Previous administration or customer service experience preferred

Job Duties

  • Assists residents, visitors, and vendors with inquiries/requests in person and via phone
  • Prepares and distributes resident correspondence
  • Administers office operations including maintaining files, office inventory, documentation processing and scheduling
  • Inputs and schedules resident maintenance requests including work orders and home inspections
  • Collects payments from residents and assists with electronic payment set-up
  • Assists with move-in/move-out processes as directed by the manager
  • Assists with planning and coordinating resident relations events
  • Performs additional duties as assigned by management subject to change
