The Night Auditor plays a crucial role in the operation of hotels managed by White Lodging. This employee is responsible for balancing all hotel and restaurant transactions daily, providing accurate and detailed financial reconciliations that ensure the business runs smoothly and all records are up to date. The Night Auditor also fulfills Front Desk-related duties, greeting guests warmly and assisting them efficiently, courteously, and professionally. Beyond transactional responsibilities, this role involves significant guest interaction, including responding promptly to inquiries and providing information about hotel amenities and local attractions to maximize guest satisfaction and hotel revenue.

This role demands a thorough knowledge of hotel room locations, rates, amenities, and frequent guest program benefits, which allows the Night Auditor to anticipate and exceed guest expectations effectively. Additionally, the employee must carry out essential operational functions such as opening and closing shifts properly, maintaining cash drawers, balancing credit cards, cash, and change funds, and verifying that all bank procedures are followed meticulously. The Night Auditor is also tasked with auditing guest accounts, group accounts, and house accounts to ensure accuracy and consistency with contracts and sales agreements.

Apart from the auditing and guest service components, the Night Auditor supports other departments by coordinating communications, reporting maintenance and security concerns, and ensuring the overall safety and quality standards of the property are maintained. This includes adherence to emergency procedures, key control, safety standards, and company policies. Job Duties

  • Provide the highest quality of service to guests and exceed expectations
  • Complete all Guest Service Representative functions including recording revenue and statistics
  • Answer telephone within three rings and assist or transfer as needed
  • Respond immediately to all pages and radio calls
  • Be responsible and accountable for issued bank, counting at beginning and end of shift
  • Report all cash over/shorts to management and comply with accounting procedures
  • Open and close shift correctly and make cash drops per procedures
  • Perform basic mathematical calculations such as addition, subtraction, multiplication, and division
  • Read, analyze, interpret and explain reports, guest folios, and emergency procedures
  • Audit guest, house, and group accounts for accuracy and consistency
  • Post room charges and taxes to active guest accounts
  • Run computer reports to complete gross revenue worksheets
  • Input gross revenue figures timely
  • Collaborate with other departments as needed
  • Handle guest mail, messages, faxes, and safe deposit boxes
  • Balance credit cards, cash, and change funds throughout shifts
  • Maintain knowledge of hotel locations, rates, amenities, selling strategies, and guest programs
  • Refer guests to hotel outlets and local services to maximize revenue
  • Safeguard the Front Desk bank and verify funds
  • Retrieve guest packages from shipping department
  • Communicate shift information with staff and management
  • Report guest or system-related problems to management
  • Print guest folios for express checkout and distribute properly
  • Organize Front Desk for next shift
  • Report financial, audit, guest relations, or security issues promptly
  • Reconcile gift shop revenue and restock as necessary
  • Operate hotel van if applicable
  • Protect hotel assets
  • Forward lost and found inquiries
  • Ensure confidentiality of guest and hotel information
  • Practice energy conservation
  • Notify maintenance of issues
  • Maintain cleanliness and order in work area
  • Adhere to attendance policies
  • Participate in preshift meetings
  • Report unsafe conditions and suspicious activities
