The Senior Meeting & Events Coordinator at CBRE plays a pivotal role in delivering an exceptional meeting and events experience within one of our prestigious Silicon Valley client offices. This role involves working closely with a diverse team to ensure the seamless execution of a wide range of meetings and events, from everyday internal gatherings to high-profile occasions with VIP guests and senior executives. As a cultural ambassador and service leader, the Senior Meeting & Events Coordinator is responsible for providing white glove hospitality that enhances the overall workplace environment and daily experience.

This position requires a professional who is adept at handling logistics, coordination, and on-site event management with minimal supervision. The role entails physically setting up and taking down event furniture, decor, removable walls, and technical equipment while maintaining a hospitable environment for all attendees and stakeholders. The coordinator also supports numerous workplace services including concierge, reception, audiovisual support, room management, document services, parking, and more, ensuring a cohesive and welcoming workplace atmosphere.

In addition to event support, this role demands active involvement in managing daily conference room turnovers, room refreshes, reconfigurations, and the handling of post-event inventory. The coordinator is key in facilitating communication among vendors, employees, and clients, while also addressing customer requests, responding to complaints, and maintaining workplace safety by following emergency procedures. The role also encompasses administrative responsibilities such as data entry, report generation, invoice billing, and managing expense accounts relating to service delivery.

As part of the responsibilities, the Senior Meeting & Events Coordinator will provide orientation sessions for new employees on workplace services and amenities and help support business continuity plans. Flexibility to travel between multiple client office locations within Silicon Valley is also a requirement of this position. Overall, this role combines customer service, event coordination, resource management, and operational support to enhance the workplace experience at a premier real estate service organization. Job Requirements

  • High school diploma or equivalent
  • Minimum 2 years of experience in meeting and event coordination or related hospitality role
  • Ability to lift and move furniture and equipment
  • Excellent interpersonal and communication skills
  • Ability to work flexibly, including occasional travel between multiple office locations
  • Proficiency in using badging and visitor management software
  • Capability to respond effectively in emergency situations
  • Strong problem-solving abilities and customer service orientation

Job Qualifications

  • Experience in event coordination or hospitality services
  • Strong customer service and communication skills
  • Ability to work independently and take initiative
  • Proficient in handling event logistics and equipment setup
  • Knowledge of security and emergency procedures

Job Duties

  • Assist with logistics, coordination and day-of execution of meetings, conferences and events
  • Create a hospitable environment for attendees, event owners and vendors
  • Perform daily meeting and conference room turnover and/or midday room refresh, reconfigurations and resets for indoor and outdoor spaces
  • Responsible for post event storage and inventory of tables and chairs
  • Provide coordination and support for delivery of Workplace Services
  • Greet employees and announce clients and visitors
  • Conduct guest registration through badging software
  • Issue visitor passes and validate parking
  • Receive and direct incoming calls to appropriate parties
  • Maintain awareness of the workspace and submit janitorial and maintenance work orders as needed
  • Respond to customer requests and complaints promptly with accurate information
  • Assist with light duty adjustments such as adjusting monitor arms and tightening screws on chairs
  • Curate and administer the Host platform and client materials
  • Utilize and maintain integrity of databases and support data entry of reports
  • Follow security and emergency procedures for the property
  • Provide support for Experience Services team including expense management and equipment care
  • Deliver orientations such as tours of facility and ordering procedure
  • Assist in the completion of the Service Business Continuity plan
  • Support coordination of moves, adds, and changes (MAC)
  • Perform other duties as assigned
