The Meeting and Event Manager role is a critical position within this organization, responsible for leading the comprehensive planning and execution of a wide range of meetings and events, each varying in complexity and scope. This full-time salaried role combines strategic operational leadership with hands-on management of all program aspects. The responsibilities include managing hotel and venue logistics, contracting, food and beverage oversight, housing and registration administration, budget management, exhibitor and tradeshow operations, vendor coordination, and onsite event execution.

The ideal candidate is someone with at least four years of experience in meeting management, capable of overseeing complex event projects from kickoff through post-program reconciliation. They must be comfortable leading various stakeholders such as vendors, venues, clients, and internal teams under tight deadlines. Experience in production management and trade show exhibit operations is highly valued, although the position entails full-scope event management responsibilities that touch every aspect of event operations.

Key aspects of the role involve project management, ensuring program timelines, milestones, and budgets are effectively managed while meeting client expectations. Communication skills are paramount, as the role demands continuous and effective coordination among clients, hotels, vendors, attendees, and colleagues. The Meeting and Event Manager will oversee logistical elements such as contracting hotel spaces, managing room blocks, coordinating food and beverage menus, and collaborating closely with registration and housing teams to support attendee needs. Vendor management is also a significant component, including the sourcing and direction of decorators, general service contractors, and specialty vendors.

Onsite leadership is essential, with the role requiring real-time troubleshooting, quality control, operational oversight, and mentorship of onsite staff and internal teams. Reporting key program statuses, risks, post-event analyses, and contributing strategic insights for process enhancements will be regular duties. Strong computer skills, proficiency with Mac environments, and familiarity with cloud-based applications like Slack, monday.com, and Google Workspace are necessary to effectively manage the diverse operational demands.

This is a travel-involved role, with an expectation of 20-30 percent travel, primarily within the United States. The candidate must hold a valid passport and be adept at managing the balance between remote work and the demands of onsite program execution. A bachelor's degree is preferred, and certification such as CMP is a welcomed asset. Job Qualifications

  • bachelor’s degree preferred

  • proficiency in Excel and Word
  • capability to read, analyze, and interpret complex documents
  • experience with registration software platforms like Cvent or getregistered
  • ability to work efficiently in a remote work environment
  • creativity and willingness to innovate are a plus
  • bilingual in English and Spanish is a plus

Job Duties

  • oversee program timelines and manage day-to-day tasks, milestones, budgets, and client expectations
  • communicate effectively and manage multiple vendors, venues, and stakeholders during program planning and onsite execution
  • prepare correspondence and internal communications in accordance with company standards and proofread materials as needed
  • lead overall meeting logistics planning and execution, including venue coordination, production timelines, staffing plans, and onsite management
  • manage hotel and venue relationships, including contracting, concessions, meeting space coordination, room block management, and ongoing logistical communication
  • oversee food and beverage planning and execution, including menu selection, guarantees, dietary accommodations, budget tracking, and onsite service management
  • collaborate with registration and housing teams to support attendees, exhibitors, speakers, sponsors, and VIP needs
