The role we are inviting applicants to fill is that of a Medical Receptionist, a pivotal position within our healthcare setting. The Medical Receptionist serves as the first point of contact for visitors and patients, responsible for greeting them warmly and directing them appropriately based on their needs and appointments. This position requires a dependable and dedicated individual who exhibits professionalism and a respectful demeanor consistently. The role encompasses answering telephone inquiries with proper etiquette, scheduling and rescheduling patient appointments, accurately maintaining patient and visit records, and ensuring compliance with corporate policies and regulatory requirements, including upholding ethical standards by reporting any form of misconduct or violation immediately.

Within this capacity, the Medical Receptionist must be adept at managing multiple tasks simultaneously while prioritizing patient confidentiality and care. Proficiency in medical office software, especially Medical Manager and electronic health record systems, is essential for registering patients, updating insurance information, and processing procedural entries accurately and efficiently. Additionally, the receptionist may be required to perform translation services, particularly bilingual English-Spanish fluency, which is preferred to better serve our diverse patient demographic. This role demands excellent interpersonal skills, calmness under pressure, and the ability to maintain respectful communication throughout all interactions, enhancing the overall patient experience.

Beyond routine duties, the Medical Receptionist must be vigilant in recognizing urgent patient needs, such as referring walk-in patients with severe symptoms promptly to medical triage. The position also involves verifying insurance coverage and authorizations to ensure patients receive the appropriate services without delay. The role is dynamic, occasionally requiring flexibility in duties to cover staffing needs. A successful candidate will demonstrate strong organizational capabilities, computer literacy with competent typing speed, and a basic understanding of clinical documentation procedures and regulatory compliance.   • Prior medical receptionist experience preferred
  • Ability to perform multiple tasks
  • Basic math and computer skills
  • Bilingual English/Spanish preferred

  • Computer literate, with good typing skills, 35 WPM

Job Duties

  • Greets visitors and patients, determines their needs, checks appointments and directs the person accordingly
  • Answers questions and provides information directly to person or on telephone, based on knowledge of Center, department, policies, procedures and regulations
  • Secures all necessary information and documents including sign-in sheets, obtaining medical chart, encounter form, etc.
  • Answers telephone calls using proper protocol
  • Reschedules patients' appointments, notifies patients of any changes in appointments
  • Properly records "No Shows" and updates scheduler system information
  • Immediately refers any "Walk-In" patients to medical triage, if they present with severe or unusual symptoms or complaints
  • Assures all communications and transactions with patients and visitors are conducted in a mature, calm, sensitive and respectful manner
  • Performs additional duties, such as translation, as may be required
  • Proficient in Medical Manager, including patient registration, updating insurance and procedure entry
  • May be asked to function in this capacity as staffing needs dictate
  • Verification of and authorization by insurance
  • Utilizes electronic health record system to enter, retrieve and document patient information, clinical tasks, communications, and physician orders accurately and efficiently
  • Other duties as required
