Job Requirements

  • High school diploma or equivalent
  • 1+ years of experience in healthcare operations or customer service preferred
  • proficiency with computer software applications including Microsoft Office and EMRs
  • strong verbal and written communication skills
  • ability to multitask and prioritize duties
  • ability to handle confidential information and maintain HIPAA compliance
  • customer service-oriented mindset
  • capacity to work independently and collaboratively

Job Qualifications

  • High school diploma or equivalent
  • associates or bachelor's degree preferred
  • 1+ years of experience in healthcare operations, customer service, or similar roles preferred
  • strong communication skills both written and verbal
  • proficiency in Microsoft Office and electronic medical records (EMRs)
  • ability to handle sensitive and confidential information in compliance with HIPAA
  • ability to multitask and prioritize effectively
  • ability to work independently and as part of a team

Job Duties

  • Create a positive work environment
  • be a culture carrier and support in-office clinician and staff engagement activities
  • conduct schedule prep process for all patients ensuring paperwork and documentation completeness
  • maintain general office duties such as sorting mail, scanning documents, managing e-faxes, shared emails, and office upkeep
  • communicate effectively with peers, clinicians, and patients
  • provide exceptional customer service responding promptly to patient needs
  • manage front desk responsibilities including greeting and checking patients in and out
  • handle patient requests via phone, email, and portal related to billing, scheduling, and inquiries
  • manage phone system queues to ensure timely call response
  • assist patients with telehealth access and patient portal troubleshooting
  • triage urgent patient requests and escalate as needed
  • collect co-payments and account balances for in-person and telehealth services
  • complete insurance eligibility verification and resolve related issues
  • provide clinician administrative support including sending letters and faxes
  • coordinate with clinicians on patient questions and support clinician schedules by auditing appointments
  • maintain a pleasant and motivational working environment in the practice
